Concierge/Site Administrator Position

We are seeking a Casual Concierge/Site Administrator to join our dynamic team of professionals in our expanding organization. Our organization manages several high-rise Condominium Buildings across the City of Ottawa, some of which require Concierge/Site Administrators to staff their front desk areas. We are looking for individuals to join us on a casual basis, filling in at various locations as needed.

Shifts: Shifts may vary from Monday to Sunday, between 8 a.m. and 8 p.m.

Transportation: A vehicle is not required; all locations have convenient access to public bus services.

Responsibilities:

  • Manage the front desk and control building access using CCTV cameras
  • Deliver exceptional customer service to residents and guests
  • Coordinate elevator and amenity bookings
  • Issue keys to contractors and cleaners, verifying work access
  • Log and distribute letters and parcels for residents
  • Program and re-program access fobs as directed by the Property Manager
  • Coordinate maintenance and cleaning tasks with on-site staff
  • Receive, document, and forward resident complaints to the Property Manager
  • Ensure compliance with fire and emergency procedures
  • Perform security patrols throughout the shift
  • Complete other duties as assigned by the Property Manager

Qualifications:

  • Post-secondary diploma
  • Security Guard license (considered an asset)
  • Proficiency in MS Office and other computer-related skills
  • Strong coordination, judgment, and decision-making abilities
  • Ability to work independently or as part of a team with minimal supervision
  • Customer-focused personality with excellent communication skills
  • Strong organizational skills and attention to detail
  • Ability to prioritize tasks, work well under pressure, and meet deadlines in a fast-paced environment
  • Prior experience in the Property Management industry (considered an asset)
  • Excellent proficiency in business English
  • Clear written and verbal communication skills
  • Respectful of resident boundaries; ability to handle sensitive information with discretion and professionalism
  • Courteous and approachable demeanor, with a welcoming attitude
