As the primary onsite point of contact, you'll help create a positive experience for employees, visitors, and vendors while providing essential administrative and workplace support.

With the company moving into a new Vancouver office, we're looking for someone who takes initiative, is comfortable working independently, and enjoys contributing to an organized, professional, and engaging office environment.

Key Responsibilities

Front Desk & Employee Experience

  • Serve as the first point of contact for employees, visitors, and guests, providing a warm and professional welcome.
  • Maintain a welcoming, organized, and professional reception area.
  • Respond to front-of-house inquiries and provide exceptional customer service.
  • Help create a positive workplace experience for employees and visitors.

Workplace Operations & Administration

  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Welcome vendors and assist with coordinating their onsite activities.
  • Support daily office operations and help maintain an organized workplace.
  • Assist with administrative projects and operational requests from the Workplace and People & Places teams.
  • Identify workplace needs and proactively communicate issues requiring attention.

Office Access & Security

  • Assist with employee access badge provisioning, including new-hire badges.
  • Maintain accurate badge records and support established security procedures.
  • Help ensure visitors and vendors follow office access requirements.

Team Collaboration

  • Partner with the Workplace and People & Places teams to support office initiatives.
  • Communicate effectively with employees, vendors, and internal stakeholders.
  • Take ownership of assigned tasks and follow through to completion.

Qualifications

Required

  • Strong communication, interpersonal, and customer service skills.
  • Professional, friendly, and approachable demeanor.
  • Excellent organization and attention to detail.
  • Ability to multitask and manage competing priorities.
  • Comfortable working independently and taking initiative.
  • Proficiency with Google Workspace, including Gmail, Google Drive, and Google Calendar.
  • Ability to work onsite in downtown Vancouver three days per week.

Preferred

  • Previous experience in reception, front-desk support, workplace coordination, office administration, or hospitality.
  • Experience supporting employees and visitors in a professional office environment.
  • Familiarity with office access procedures, mail and delivery coordination, or vendor interactions.
  • Experience supporting a technology company or corporate office.

What Makes Someone Successful in This Role?

You'll thrive in this position if you:

  • Take initiative and anticipate needs without constant direction.
  • Communicate professionally with people at all levels of an organization.
  • Enjoy balancing hospitality with administrative responsibilities.
  • Stay organized and composed when handling multiple requests.
  • Take pride in creating an inviting and efficient workplace.

Why This Opportunity?

  • Join a collaborative and people-focused technology environment.
  • Help support a newly established Vancouver office.
  • Enjoy a consistent, three-day-per-week schedule.
