Job Overview:

Our client is hiring an external Project Coordinator to manage project administration, Procore systems, and document control for federal energy projects. The candidate will manage paperwork, records, and schedules to support district energy decarbonization initiatives involving cogeneration, heat pumps, steam-to-low-temperature hot water conversion, thermal energy storage, and building automation. The coordinator serves as the single point of control for project records in Procore and SharePoint document control systems.

Location and Security:

  • The role is based in the Ottawa Valley or Kingston area, with site travel required between facilities.
  • Candidates must hold or be eligible for Government of Canada Reliability Status; Secret clearance is an asset.

Key Responsibilities:

  • Set up and maintain Procore projects, including users, permissions, drawings, specifications, and directories.
  • Run the RFI, submittal, and transmittal workflows, tracking ball-in-court and overdue items.
  • Maintain drawing revisions so the field always works from the current set.
  • Log daily reports, meeting minutes, observations, and punch lists.
  • Apply standard document numbering, revision, and approval standards to every deliverable.
  • Manage the master document register and transmittals to consultants and subcontractors.
  • Keep Procore and SharePoint document control systems in sync as one source of truth per record.
  • Assemble closeout packages including as-builts, O&M manuals, warranties, commissioning records, and training records.
  • Schedule and minute project meetings, tracking action items to closure.
  • Prepare weekly and monthly progress reports for the project team and stakeholders.
  • Support change order, invoicing, and progress claim documentation.
  • Track subcontractor insurance, WSIB, safety, and site-access paperwork.
  • Coordinate site access requests and security clearances for staff and trades.

Required Qualifications:

  • 3+ years as a project coordinator, project administrator, or document controller on construction, mechanical, electrical, or energy projects.
  • Hands-on Procore experience on live projects, including RFIs, submittals, drawings, and transmittals.
  • Proven document control experience including registers, revision control, transmittals, and closeout packages.
  • Strong Microsoft 365 skills, especially Excel, Outlook, Teams, and SharePoint.
  • Holds, or is eligible to obtain, Government of Canada Reliability Status.
  • Valid driver's license and ability to travel to project sites.
  • College diploma or degree in construction management, engineering technology, project management, business administration, or equivalent experience.
  • Strong verbal and written communication skills.

Preferred Qualifications:

  • Procore certifications (e.g., Project Manager or Document Management certification).
  • Experience on federal or defense construction projects.
  • Active Secret clearance.
  • Background in mechanical, HVAC, central plant, or district energy projects.
  • Experience with ISO 9001 document control or a formal quality management system.
  • Familiarity with energy performance contracts or design-build delivery.
  • Working knowledge of Power Automate, Bluebeam, or MS Project.
  • PMI CAPM or PMP certification, or progress toward one.

Core Competencies:

  • Attention to detail: Catches wrong revisions, missing signatures, and numbering errors before documents leave.
  • Organization: Juggles multiple locations and open items effectively.
  • Follow-through: Pursues overdue RFIs and submittals persistently until closed.
  • Communication: Prepares clear minutes and reports; interacts effectively with staff, consultants, and trades.
  • Discretion: Handles controlled and security-sensitive information correctly.
  • Initiative: Improves templates and workflows proactively.
  • Adaptability: Functions effectively both in the office and on site, adjusting to changing priorities.
