Position Overview

We are seeking a detail-oriented and customer-focused Procurement & Customer Support Specialist to join a busy Order Processing team. This position supports procurement, order management, logistics, inventory coordination, and customer service activities.

The ideal candidate is highly organized, adaptable, and comfortable managing multiple priorities in a fast-paced manufacturing or technical environment. French is not required for this position.

Key ResponsibilitiesProcurement and Supply Chain

• Manage purchasing activities and coordinate with internal teams, external suppliers, and logistics partners.

• Oversee the procurement process from purchase order creation through final delivery.

• Serve as a primary point of contact for procurement, supplier, and logistics-related communications.

• Review vendor invoices and resolve pricing, delivery, or documentation discrepancies.

• Address supplier issues and escalate concerns when necessary.

• Collaborate with internal departments to monitor slow-moving and obsolete inventory.

• Coordinate material flow across the supply chain to support operational requirements.

• Maintain accurate material master data within the ERP system.

• Participate in meetings with global teams to support procurement initiatives and process improvements.

• Identify opportunities to improve procurement and order-management procedures.

• Assist with training new team members and communicating procedural updates.

Customer Support and Order Management

• Maintain accurate customer information within ERP and CRM systems.

• Provide responsive and professional customer service by phone and email.

• Prepare sales and service quotations.

• Manage the complete customer order lifecycle, including:

  • Order entry and confirmation

  • Shipping coordination

  • Invoicing

  • Returns and credits

• Coordinate customer shipments with warehouse and logistics personnel.

• Partner with Sales and Marketing to ensure a positive customer experience.

• Work with Finance to address customer credit, billing, and payment inquiries.

• Participate in occasional international travel for training or business meetings, as required.

Qualifications

• At least five years of experience in procurement, order processing, customer support, supply chain operations, or a related field.

• Experience managing the complete procurement and customer order cycle through an ERP system.

• Previous experience in an engineering, manufacturing, or technical environment is preferred.

• Proficiency in Microsoft Office, including Excel, Word, and Outlook.

• Experience working with CRM platforms.

• Strong organizational and time-management skills.

• Exceptional attention to detail and accuracy.

• Excellent written and verbal communication skills in English.

• Ability to prioritize multiple responsibilities and adapt to changing business needs.

• Self-motivated and capable of working both independently and collaboratively.

• Post-secondary diploma or an equivalent combination of education and relevant experience.

Preferred Qualifications

• Experience supporting procurement and customer service functions within a manufacturing organization.

• Knowledge of logistics, inventory management, and international shipping processes.

• Experience working with global suppliers and cross-functional teams.

• Familiarity with continuous improvement initiatives and process documentation.
