Position Details:

· Full-Time

· Hourly

· On-Site

· Schedule: Monday to Friday

· Hours of Work: 8:30 a.m. to 5:00 p.m.

Location: Cornwall Road, Oakville, Ontario

Summary:

The Accounts Receivable Support is responsible for supporting the Company's accounts receivable functions, including invoicing, collections, payment application, account reconciliation, customer account maintenance, and financial reporting. The role also serves as a cross-functional backup resource for Purchasing and Accounts Payable activities to ensure continuity of operations within the Finance and Purchasing Departments.

This position requires strong organizational skills, attention to detail, customer service focus, and the ability to manage multiple priorities while maintaining confidentiality and accuracy.

The primary responsibilities and duties include but are not limited to:

Accounts Receivable:

  • Generate and process customer invoices in accordance with Company procedures.
  • Apply customer payments and reconcile accounts receivable transactions.
  • Monitor aging reports and follow up on overdue accounts.
  • Research, investigate, and resolve payment discrepancies and billing issues.
  • Maintain accurate customer records, including billing information and payment terms.
  • Communicate with customers regarding account balances, payments, and invoice inquiries.
  • Prepare account reconciliations and monthly AR reports.
  • Support month-end and year-end closing activities related to accounts receivable.
  • Assist in maintaining fair and consistent credit and collection practices.
  • Collaborate with Sales, Project Management, Service, and other departments to resolve customer account issues.
  • Maintain organized electronic and paper records related to accounts receivable.

Purchasing Support (Backup Responsibility):

  • Provide coverage for purchasing functions during vacations, absences, or peak workloads.
  • Generate and process purchase orders in accordance with Company purchasing policies.
  • Obtain quotations and assist with vendor selection as directed.
  • Follow up with suppliers regarding order status, delivery schedules, and discrepancies.
  • Maintain supplier records and purchasing documentation.
  • Coordinate with internal departments to ensure purchasing requests are complete and approved.
  • Assist with receipt matching and purchase order reconciliation.
  • Support inventory-related purchasing administration as required.

Accounts Payable Support (Backup Responsibility):

  • Provide backup coverage for accounts payable processing.
  • Review and verify invoices for accuracy, approvals, coding, and supporting documentation.
  • Match invoices to purchase orders and receiving documents.
  • Prepare invoices for payment processing.
  • Assist with employee expense report verification and processing.
  • Reconcile vendor statements and resolve payment discrepancies.
  • Maintain accurate vendor records and filing systems.
  • Support month-end accounts payable activities and reporting.

Administrative & General Finance Support:

  • Prepare financial reports, spreadsheets, and analysis as requested.
  • Assist with audits, compliance reviews, and documentation gathering.
  • Maintain accurate financial records and document retention practices.
  • Participate in continuous improvement initiatives to enhance Finance Department efficiency.
  • Cross-train in additional finance functions to support departmental flexibility.
  • Perform other duties as assigned.

Requirements / Qualifications:

Academic Training:

· Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, or a related field.

· Equivalent combination of education and experience may be considered.

Work Experience:

· 2-5 years of experience in Accounts Receivable, Accounting, or Finance.

· Experience with accounts payable and purchasing processes is considered an asset.

· Experience in a manufacturing or project-based environment is preferred.

Knowledge, Skills & Abilities:

  • Strong understanding of accounts receivable processes and collections.
  • Working knowledge of accounts payable and purchasing practices.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with ERP, accounting, or financial management systems.
  • Strong analytical and problem-solving skills.
  • Excellent attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Ability to prioritize workload and meet deadlines.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Team-oriented with the ability to work independently.
