Summary of Position:
The Volunteer & Club Coordinator is responsible for developing and coordinating volunteer & student club opportunities that strengthen student involvement, connection, leadership, and belonging across the NorQuest campus community.
The coordinator leads SANQC's organizational volunteer program, creating meaningful opportunities for students to contribute to their campus community while developing practical skills, confidence, and leadership capacity. This includes volunteer recruitment, screening, orientation, placement, recognition, ongoing engagement, and evaluation, while working with SANQC staff to identify and support volunteer opportunities across programs, services, events, and initiatives.
The coordinator supports SANQC's student clubs by providing club leaders with guidance, resources, and training. They facilitate club registration and development, help students navigate SANQC requirements and processes, and work with club leaders to strengthen participation and create positive student-led experiences.
The coordinator contributes to SANQC's ongoing commitment to transforming the student experience by participating in internal and external committees and initiatives aligned with SANQC's purpose.
From time to time, the coordinator may be required to support additional duties to ensure the smooth functioning of the organization.
Duties & Responsibilities:
Volunteer Program Coordination
- Coordinate SANQC's organizational volunteer program
- Recruit volunteers throughout the year & coordinate targeted recruitment efforts
- Screen, select, orient, train, & place volunteers in appropriate roles
- Coordinate volunteer requests from SANQC
- Maintain regular communication with volunteers & ensure volunteer records remain current.
- Volunteer scheduling for ongoing coverage.
- Identify & coordinate internal & external volunteer opportunities
- Volunteer recognition & incentive initiatives, including tracking participation & administering earned incentives.
- Monitor the volunteer program budget & maintain appropriate financial & program documentation.
- Collect participation data & volunteer feedback
Student Club Coordination
- Coordinate SANQC's student club program
- Review & evaluate new club proposals & support students through club establishment & ratification.
- Serve as the primary point of contact for club leaders
- Develop & facilitate training & resources for club leaders
- Support approved clubs with start-up, events, communication, recruitment, & engagement
- Coordinate club financial processes, support club leaders in developing & monitoring budgets, & maintain appropriate records.
- Encourage collaboration between clubs & support positive, inclusive, & sustainable student-led experiences.
- Support club leaders in developing succession strategies
- Track club activity, participation, & feedback
Student Leadership Development
- Create opportunities for volunteers & club leaders to build transferable skills, leadership capacity, confidence, & connections
- Develop & facilitate orientations, workshops, training, & resources that prepare students for volunteer & leadership roles.
- Provide coaching & support to students as they develop skills & take on increased responsibility.
- Identify pathways for students to become more involved in SANQC & campus initiatives.
- Support inclusive participation by identifying & reducing barriers to student involvement.
- Contribute to SANQC student engagement initiatives
Program Promotion & Awareness
- Work with the Engagement team to raise awareness of volunteer opportunities, student clubs, leadership opportunities, & related SANQC initiatives.
- Provide expertise for promotional materials & communications
- Support outreach activities that increase awareness of ways students can become involved
- Ensure volunteer & club program information is accurate & current
Collaboration With Campus Partners
- Build & maintain positive relationships
- Collaborate with campus & community partners
- Maintain communication with relevant staff, faculty, & partners to support effective program coordination.
- Share student feedback & emerging needs
Skills & Abilities:
- Strong communication & interpersonal skills, with the ability to build positive relationships with students, volunteers, club leaders, staff, & campus partners.
- Organized & able to manage multiple programs, schedules, records, budgets, & competing priorities.
- Strong facilitation & coaching skills, with the ability to support students with varying levels of experience & confidence.
- Good problem-solving & conflict-resolution skills when supporting volunteers, student leaders, & student-led groups.
- Able to work collaboratively while taking responsibility for assigned programs & initiatives.
- Demonstrated commitment to creating welcoming, inclusive, & accessible opportunities for student participation.
- Comfortable using & learning tools & systems for communication, scheduling, recordkeeping, financial tracking, data collection, & reporting.
Education & Experience:
- A diploma in Volunteer Management, Human Services, Business, Student Affairs, Community Development, (or a related field, or an equivalent combination of education & experience.)
- 3+ years of experience in volunteer coordination, student engagement, community programming, student services, or a related environment.
- Experience recruiting, training, supporting, or coordinating volunteers or student leaders.
- Proficiency with standard office software & online tools.
Knowledge (Assets, Not Requirements):
- Understanding of conflict resolution, or de‑escalation.
- Knowledge of NorQuest College & SANQC services (or similar post‑secondary environments).
- Understanding of inclusive engagement practices & approaches to reducing barriers to student participation.
Hours of Work:
- Monday – Friday, 8:00 a.m. – 4:30 p.m.
- Occasional evenings & weekends may be required
