Clearpoint Health Network Inc is recruiting for a Multi-Program Surgical Coordinator – for its centre in Calgary.

Position Summary

The Surgical Coordinator provides flexible administrative and surgical coordination support across surgical programs, including private, government-funded, and WCB patient streams as required.

This position functions like a float and provides additional capacity during periods of increased surgical volume, staff absences, vacation coverage, training, and other operational demands. The Float Surgical Coordinator works collaboratively with surgeons, clinical teams, patients, and internal departments to support efficient scheduling, timely communication, and a positive patient experience.

The role requires a high level of organization, adaptability, and the ability to shift between different surgeons, programs, and priorities based on operational needs.

Key Responsibilities

Surgical Coordination & Scheduling

  • Coordinate surgical bookings and scheduling activities for assigned surgeons and programs.
  • Manage schedule changes, cancellations, rescheduling, and waitlists.
  • Coordinate operating room availability and patient requirements with surgical and clinical teams.
  • Ensure required patient information and documentation are complete and available for scheduled procedures.
  • Coordinate multiple surgeons, procedures, and patient pathways.

Patient Communication

  • Serve as an administrative point of contact for patients throughout the surgical booking process.
  • Communicate appointment, procedure, and scheduling information clearly and professionally.
  • Respond to patient inquiries and follow up on outstanding information or requirements.
  • Support timely pre-operative and post-operative communication as required.
  • Escalate clinical or patient concerns to the appropriate clinical team.

Float & Cross-Coverage Support

  • Provide coverage for Surgical Coordinators during vacation, sick leave, training, and other absences.
  • Provide additional support during periods of high surgical volume or increased administrative workload.
  • Assist different surgeons and programs based on operational priorities.
  • Support the team in maintaining timely workflows and minimizing scheduling backlogs.
  • Adapt quickly to changing priorities and workload requirements.

Program Support

  • Support private surgical programs as volumes increase.
  • Provide administrative support to government-funded and WCB programs as required.
  • Support coordination across multiple surgical programs and locations.
  • Assist with the administrative coordination of new surgeons and expanding surgical programs.
  • Identify scheduling or workflow issues and work with the team to improve efficiency.

Administrative Responsibilities

  • Maintain accurate and timely patient and surgical records.
  • Complete required documentation, data entry, and tracking.
  • Coordinate information between surgeons, patients, clinical staff, and other departments.
  • Follow established policies, procedures, privacy requirements, and documentation standards.
  • Assist with reporting, tracking, and other administrative duties related to surgical operations.

Qualifications & Experience

  • Minimum 2 years of administrative or coordination experience, preferably in a healthcare or surgical environment.
  • Experience with surgical scheduling, patient coordination, medical office administration, or a similar healthcare role is strongly preferred.
  • Experience supporting multiple physicians, clinics, or patient programs is an asset.
  • Strong computer skills and ability to learn and use healthcare scheduling and electronic systems.
  • Excellent organizational skills with the ability to manage multiple priorities and competing deadlines.
  • Strong verbal and written communication skills.
  • Demonstrated ability to provide professional and compassionate patient service.
  • Ability to work independently while contributing effectively to a collaborative team.
  • Strong attention to detail and accuracy.
  • Ability to adapt to changing priorities and provide support across different areas of the department.

This position operates in a fast-paced surgical healthcare environment and requires the ability to manage changing priorities, high volumes, and time-sensitive patient and surgical coordination requirements.

The successful candidate will be comfortable working as a flexible resource across the surgical coordination team and supporting different programs based on operational needs.

The Surgical Coordinator provides critical flexibility as surgical volumes and operational demands continue to grow. The position supports patient access and service levels, provides cross-coverage for the existing team, supports expanding surgical programs, and helps ensure continuity across private, government-funded, and WCB services
