Position: Logistics/Operations Coordinator – Level 1Type: Full-time, Permanent
Location: On-site | Monday to Friday, 8:30 AM – 5:00 PMYou will join a team of three coordinators responsible for managing logistics, documentation, and operations processes.Key ResponsibilitiesShared ResponsibilitiesSource freight quotes (ocean/air, de-stuffing, transload, local delivery) as per purchase terms from Account Managers.Coordinate vessel bookings with international vendors (Taiwan, China, India, Italy, etc.).Monitor U.S. ADD/CVD cases and related investigations; track updates, maintain documentation, and review duty rates.Manage Canadian TRQ quota submissions for pipe shipments and ensure timely permit requests.Handle freight surcharge requests and obtain approvals before proceeding with shipments.Prepare and file ISFs (via customs broker), and update shipment details from suppliers.Enter and maintain shipment data in Epicor Prophet 21 (order management system).Track shipments (FCLs/LCLs) through sea, rail, and trucking portals; coordinate with freight forwarders and steamship lines.Update logistics management sheets from Port of Departure to Empty Return.Communicate proactively with teams and warehouses to resolve logistics issues quickly.Process and issue shipment invoices and special charge invoices in Epicor/P21.Compile and submit import clearance documents to U.S. and Canadian customs brokers.Verify MTRs (Material Test Reports) to ensure compliance with standards and customer requirements.Prepare and distribute final shipping document bundles to warehouses.Validate third-party logistics, broker, and service provider invoices; ensure correct billing to warehouses.Analyze and report freight market trends (Drewry Index and similar tools).Investigate and resolve non-conformance reports (credits, debits, and invoice adjustments).Other ResponsibilitiesProvide administrative/clerical support during absences or high-volume periods.Contribute to process improvements and knowledge sharing using Epicor Prophet 21.Maintain and update assigned SOPs.Participate in relevant projects as needed.Skills & QualificationsStrong problem-solving ability with both macro and micro-level thinking.Excellent verbal and written communication skills.Minimum 3 years of experience in North American Ocean Imports; exposure to air freight and South American imports is an asset.Experience in operations, billing, and administration preferred.High attention to detail, accuracy, and ability to manage multiple priorities.Strong interpersonal skills and emotional intelligence.Proficiency in MS Office; experience with Prophet 21 is an asset.Post-secondary education preferred.
