Receptionist / Administrative Assistant

Location: Toronto, ON
Position: Receptionist / Administrative Assistant
Pay Rate: $20.46–$23.00 per hour
Schedule: Monday to Friday, 8:00 AM–5:00 PM

Position Overview

We are seeking a polished, professional, and customer-focused Receptionist / Administrative Assistant to join a professional corporate environment in downtown Toronto. This position is ideal for someone who takes pride in creating a positive first impression and has strong communication, organization, and administrative skills.

The successful candidate will be responsible for managing the reception area, greeting visitors, handling incoming calls, coordinating meeting rooms, and providing general administrative support.

Key Responsibilities

  • Greet and professionally assist visitors while following customer security and badge requirements
  • Answer and direct multiple incoming telephone calls using a multi-line phone system
  • Take accurate and complete messages and ensure they are directed to the appropriate individuals
  • Manage reception and maintain a professional and welcoming environment
  • Schedule and coordinate conference rooms and meeting spaces
  • Assist with meeting room set-up and related requirements
  • Maintain files, records, and office documentation
  • Provide general administrative and office support
  • Assist with mail, scanning, copying, faxing, printing, and document fulfillment as required
  • Perform data entry and other administrative tasks
  • Manage multiple priorities while maintaining accuracy and professionalism
  • Perform additional duties as required to support the client environment

Required Qualifications & Skills

  • Previous experience in a reception, administrative, or client-facing role
  • Excellent verbal and written communication skills
  • Polished, professional, and courteous demeanor
  • Strong customer service skills
  • Professional appearance and attire
  • Ability to create a positive first impression
  • Strong organizational and time-management skills
  • Ability to multitask and prioritize competing requests
  • Ability to work independently with minimal supervision
  • Intermediate computer skills, including:
    • Microsoft Word
    • Microsoft Outlook
    • Microsoft Excel
    • Microsoft PowerPoint
    • Internet navigation and Windows Explorer
  • Comfortable using multi-line telephone systems
  • Strong attention to detail and accuracy
  • Ability to read, write, and follow instructions
  • Previous experience working in a professional client environment is an asset
  • High School Diploma or equivalent required

Physical Requirements

  • Ability to sit and stand for extended periods
  • Frequent walking within the workplace
  • Ability to greet and assist visitors throughout the day
  • Ability to lift and move items weighing up to 50 lbs. as required
  • Ability to assist with meeting room set-up, mail, printing, and document-related tasks
