We are seeking an experienced and detail-oriented Payroll Specialist with a strong understanding of payroll principles, practices, and legislation. The successful candidate will be highly organized, accurate, and comfortable working with confidential employee information while managing multiple priorities and deadlines.
RESPONSIBILITIES
Reporting to the Payroll Manager, the Payroll Specialist is responsible for supporting the accurate and timely processing, administration, and reconciliation of semi-monthly payroll.
Key responsibilities include, but are not limited to:
- Process and reconcile semi-monthly payroll accurately and within established deadlines.
- Maintain employee payroll records, including new hires, terminations, leaves of absence, benefit deductions, garnishments, and other personnel changes.
- Administer employee benefits and pension plans, including enrolments, changes, and employee inquiries.
- Prepare cheque requisitions and journal entries as required.
- Prepare and distribute timely and accurate payroll reports.
- Serve as a payroll resource for employees and management, responding to payroll-related questions and resolving discrepancies.
- Enter and maintain employee information and changes within PBS Systems/Clarity and applicable accounting and payroll systems.
- Complete and submit Records of Employment (ROEs) as required.
- Prepare confirmation of employment and income verification letters upon request.
- Maintain and administer annual vacation and special leave records and programs.
- Process applicable government remittances and ensure required deadlines are met.
- Complete payroll-related account reconciliations and investigate discrepancies as required.
- Year-end payroll processes, including T4 and T2200 preparation and processing.
- Maintain accurate and complete employee files, ensuring documentation is appropriately organized, coded, filed, and retained.
- Ensure terminated employee files and documentation are completed and maintained appropriately.
- Assist with documenting, reviewing, and maintaining payroll procedures to support consistency and accuracy.
- Maintain a high level of confidentiality when handling employee, payroll, and financial information.
- Perform other payroll and administrative duties as required.
QUALIFICATIONS
- Previous payroll experience (3-5 years experience), preferably in a multi-location or high-volume environment.
- Strong knowledge of payroll principles, practices, and applicable payroll legislation.
- Experience processing semi-monthly payroll and completing payroll reconciliations.
- Knowledge of payroll year-end processes, including T4s and ROEs.
- Experience administering employee benefits and pension plans is considered an asset.
- Experience with PBS Systems/Clarity or similar payroll/accounting systems is considered an asset.
- Strong attention to detail with a high degree of accuracy.
- Excellent organizational and time-management skills with the ability to meet strict deadlines.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential and sensitive employee information with discretion and professionalism.
- Strong proficiency in Microsoft Office, particularly Excel.
- Payroll Compliance Professional (PCP) designation, is considered an asset.
