Interior Design Specification Specialist

Role Overview
Responsible for managing and coordinating interior design specifications, materials, finishes, products, and related documentation to ensure design intent, quality, accuracy, budget, and project requirements are maintained from design through documentation and implementation.

Key Responsibilities

• Develop, maintain, and coordinate interior finish and product specifications for projects.
• Research and source furniture, fixtures, finishes, materials, fabrics, lighting, plumbing, hardware, and accessories.
• Review products and materials for quality, suitability, availability, lead times, budget, and compliance with project requirements.
• Prepare and maintain specification schedules, finish schedules, material schedules, and product documentation.
• Coordinate specifications with drawings, elevations, details, procurement requirements, and design intent.
• Work closely with Designers, Project Managers, suppliers, manufacturers, and consultants to resolve specification issues.
• Review samples, shop drawings, product data, substitutions, and technical information.
• Track and document product approvals, revisions, substitutions, and outstanding items.
• Maintain organized libraries of product information, samples, specifications, and supplier contacts.
• Assist with FF&E and procurement documentation, ensuring information is accurate and complete.
• Identify potential cost, lead-time, availability, or installation concerns and communicate them to the project team.
• Ensure specifications are consistent, coordinated, and accurately reflected in project documentation.
• Support the team during tendering, procurement, fabrication, and installation as required.
• Participate in project meetings and provide specification-related updates and recommendations.
• Maintain awareness of current products, materials, manufacturers, design trends, sustainability requirements, and industry standards.

• Communication: Communicates clearly with internal teams, vendors, manufacturers, and consultants.
• Design Understanding: Understands the relationship between design intent, functionality, constructability, budget, and procurement.
• Quality Control: Reviews documentation carefully and takes ownership of accuracy and completeness.
