The Role:

Reporting to the Senior Sales Manager, the Sales Support Administrator is to connect with customers, document and process their orders, and ensure that the shipments are dispatched as per orders. The key responsibilities include, but are not limited to, the following:

Responsibilities:

Order Taking

  • Accurately receiving, processing, and confirming customer sales orders via phone, email, or EDI in a timely manner.
  • Verifying order details, including product codes, quantities, pricing, and shipping information.
  • Creation of new customer accounts in CRM and ERP system; obtaining and keying the correct information regarding bill to, ship to, phone, email, fax, HST, contact person etc. related to new accounts.
  • Saving all relevant sales documents and contracts into the sales filling system.
  • Working closely with internal departments (e.g., production planning, warehouse, transportation) to align order fulfillment with production and delivery schedules.
  • Supporting the sales team by generating order confirmations, basic reports, and resolving common order-related issues.
  • Proactively driving / promoting sales and achieving sales targets.
  • Following standard operating procedures (SOPs), including food safety and quality standards for order traceability and documentation.
  • Confirming product availability, pricing, and delivery schedules with customers.
  • Preparing sales reports and statistics to help provide trend visibility and demand planning.
  • Communicate customer order details to production and warehouse teams.
  • Drop off samples and postage.

Customer Service

  • Liaising with production, sales, shipping, warehouse, or delivery personnel to trace or accelerate shipments.
  • Monitor the general OIC Foods email and phone lines and distribute relevant information to other departments.
  • Greeting customers and creating appropriate customer service relations to maintain sales orders.
  • Answer customer telephone calls and emails and relay to appropriate staff members.
  • Organize and schedule conferences and meetings with customers when necessary.
  • Communicating delays, substitutions, or changes in orders to customers promptly and professionally.

The above is not an exhaustive list of duties and the incumbent will be expected to perform different tasks as necessitated by their changing role within the organization and the overall business objectives of the organization.

Qualifications & Experience:

  • Bachelor Degree in Sales, Marketing, Business or related fields.
  • 2+ years of experience in sales administration, preferably in Manufacturing.
  • Intermediate Excel skills.
  • Excellent communication skills.
  • Fluency in Punjabi not required, but preferred.
  • Must have a valid Ontario Driver's Licence and vehicle to commute.

Compensation:

Hourly compensation of $19.00 to $24.00 depending on experience.

Schedule:

The incumbent will be expected to adhere to the following approximate shift schedule: 40 hours per week; 35 hours Monday to Friday (fully on-site) and 5 hours on Sunday (work-from-home). The shift schedule may fluctuate based on business demands.

Location:

This is a fully on-site role currently working at the 190 Statesman Dr, Mississauga, ON L5S1X7 location. The incumbent may however be required to work at any place of business which the company and its sister group of companies has or may acquire in future.
