About the Role Reporting to the Director of Operations, the Office Administrator owns the administrative functions of the business across finance, HR, office operations, and corporate services. This is an ownership role: when something falls within your area, you see it through to completion, whether that means doing the work yourself, coordinating others, following up, or escalating issues. You'll work closely with our Finance Coordinator, who supports accuracy and controls within several of these processes. What You'll Do Financial administration * Own the end-to-end payroll cycle, from timesheet follow-up through calculation, processing and time-off tracking * Manage customer billing, accounts receivable, collections and payment posting * Own the employee and management expense process, including follow-up and reconciliation * Route invoices to the right approvers and follow them through to completion * Administer office, building and recurring expenses and subscriptions, and support budget preparation HR administration * Coordinate onboarding, offboarding and new employee orientation * Maintain personnel records, HR documentation and time-off tracking * Support benefits administration and employee training programs * Plan social events, team-building and recognition initiatives * Escalate HR matters that need management or external HR support Office and corporate services * Oversee daily office operations, supplies, equipment, vendors and building maintenance * Coordinate meetings, company events and travel * Manage correspondence, phone calls and visitors, and prepare memos, reports and presentations * Plan and track corporate services projects with department heads, keeping management informed * Maintain administrative procedures and identify process improvements What You Bring * College diploma or university degree in business administration, accounting, human resources or communications * 3+ years of office administration or office management experience, ideally in a small business * 3+ years of finance or accounting experience with a focus on controls, process and reporting * Demonstrated experience owning end-to-end payroll processing * Working knowledge of ERP and accounting systems, including multi-currency * Strong Microsoft Office skills, particularly Excel * Sound judgment, strong problem-solving skills and attention to detail, with the ability to prioritize time-sensitive work * Excellent written and verbal communication and a collaborative, outgoing style * Integrity and discretion in handling payroll, personnel and financial information * Assets: project management experience; knowledge of the AV integration or technology industry What We Offer Benefits, paid time off, career growth opportunities, company events
