We are seeking a highly organized, proactive, and detail-oriented professional to support the daily operations of the Tap Roots Group. This multifaceted role serves as the administrative backbone of the organization, providing support to office and field staff while overseeing key operational functions including accounts payable, timesheet administration, office management, facilities coordination, vendor relations, IT and telecommunications support, and regulatory compliance. The ideal candidate is a strong communicator with exceptional customer service skills, capable of managing multiple priorities in a fast-paced environment while fostering a positive and professional workplace culture. Success in this role requires strong administrative expertise, attention to detail, problem-solving abilities, and a collaborative approach to supporting leadership, project teams, and employees across multiple companies. This is an in office based position, that requires someone who is able to take on multiple priorities while still maintaining positive and professional work environment. Tap Roots Plumbing and Heating is a new construction based mechanical company that specializes in multi-family residential homes. We have been in business for over 25 years and continue to proudly change the skyline of Metro Vancouver.

Roles and Responsibilities Overview:

  • Completes day-to-day administrative operations for the Tap Roots Group, including direct admin support for staff in the office or on the field
  • Manages the collection, accuracy and input of the Tap Roots and Pronex Timesheets, including entering data, auditing hours entered and contacting Foreman or employees directly for clarification
  • Manages the IT efforts of all three companies; including ordering desk equipment, tracking iCloud accounts, contacting IT Customer Service as needed
  • Coordinates office facilities, including office contracts of garbage disposal and janitorial services, setting up new office spaces, providing building keys and general operations of the office
  • Tracks and manages company gas cards, including administering cards, tracking appropriate usage and inventory, reporting any concerns to the Controller or HR Manager
  • Create a positive and approachable office environment by providing bright, polite and professional customer service for both internal and external customers, including employees, office visitors, suppliers, developers, etc.

Who You Are:

  • 2+ Years of Experience in an administrative role, preferably in the construction industry
  • Positive attitude and willing to take initiative
  • Able to work with independently and in a team environment
  • Strong knowledge and experience of Microsoft Office Suite is required
  • Experience with Procore and Sage are considered an asset
