Position Overview:

The Office Admin Clerk is responsible for performing a variety of administrative, financial, and operational duties to support the efficient day-to-day operations of the branch. This position requires accuracy, organization, attention to detail, confidentiality, and the ability to manage multiple priorities.

Key Responsibilities

Financial and Customer Account Administration

  • Reconcile and validate cash deposits to ensure accuracy and proper recording of transactions.

  • Scan, record, and process cheques in accordance with established company procedures.

  • Process customer payments accurately and in a timely manner. (Front counter)

  • Record, process, and manage customer credit card information securely and confidentially, in accordance with company procedures.

  • Review, process, and assist in resolving customer account disputes, discrepancies, and payment-related issues.

  • Process, close, and maintain documentation related to merchandise returns, credits, and refunds.

Transportation and Shipping Administration

  • Track and record transportation and freight-related information.

  • Prepare and maintain required shipping and transportation documentation.

  • Track and record transportation costs associated with incoming purchase orders, including freight, delivery, container, and other applicable charges.

  • Review and validate transportation-related information and supporting documentation for accuracy.

  • Follow up on missing or incomplete transportation and shipping documentation as required.

Office and Administrative Support

  • Order, manage, and maintain office supplies and inventory to ensure adequate stock levels.

  • Prepare, organize, file, and retain administrative records and documentation in accordance with company procedures.

  • Maintain accurate and organized electronic and physical files.

  • Provide general administrative support to the branch and other departments as required.

  • Assist with other administrative and operational activities necessary to support the efficient functioning of the business.

Additional Responsibilities:

  • Perform other related administrative, financial, or operational duties assigned by management based on business needs and operational priorities.

  • Assume additional responsibilities and provide support in other areas of the business, as reasonably required by the immediate supervisor.

Required Experience, Qualifications and Skills

  • 3 to 5 years of administrative experience

  • Excellent customer service and communication skills, both verbal and written

  • Strong organizational skills and the ability to manage multiple tasks simultaneously in a fast-paced environment

  • High level of accuracy and attention to detail, particularly when managing cash, financial reports and administrative documents

  • Ability to work independently while collaborating effectively with the team and management

  • Strong time-management skills and ability to meet deadlines

  • Proficiency with computer tools, including office software, order management systems and databases

  • Ability to analyze information and prepare clear, accurate reports

  • Discretion and integrity when handling confidential and financial information

  • Adaptability and flexibility in response to changing priorities

  • Strong sense of responsibility and professionalism

  • Excellent attention to detail and organizational skills

  • Ability to work effectively in a fast-paced environment
