The Recruitment Coordinator provides dedicated administrative and coordination support to the Global Talent Acquisition team, with a particular focus on recruiting activities and onboarding for the Burnaby, BC office. This is an onsite, temporary role of approximately six months, offering the opportunity to contribute to a mission-driven organization, work with a friendly and supportive team, and grow within a dynamic environment.
Responsibilities- Schedule virtual and in-person interviews for corporate and outside sales roles across North America, including organizing candidate travel arrangements, booking conference rooms, and managing all candidate correspondence.
- Support recruiters by posting job openings, reviewing resumes for basic requirements, and assisting with coordination of reference checks.
- Assist with the new hire onboarding process by coordinating new hire paperwork, arranging badge photos, and generating and organizing employee files as needed.
- Manage the contractor process for hourly temporary staff in Operations, including onboarding and offboarding, coordinating new hire paperwork, maintaining correspondence between staffing agencies and hiring managers, and updating and tracking information in the contractor spreadsheet.
- Complete ad hoc projects such as updating job descriptions, supporting employer branding initiatives, preparing for career fairs, conducting new hire paperwork audits, and assisting with staffing vendor audits.
- Maintain accurate data and records within tracking systems, spreadsheets, and files to support talent acquisition activities.
- Handle internal and external communications professionally, ensuring timely responses and a positive candidate and stakeholder experience.
- Safeguard confidential information and exercise sound judgment in all recruitment and onboarding activities.
- Collaborate closely with recruiters and HR team members, contributing to a positive, supportive, and high-performing team culture.
- Bachelor's degree or equivalent experience.
- At least 2 years of recruiting coordination or administrative experience, including managing data with accuracy, scheduling interviews, handling internal and external communications, conducting reference checks, and supporting onboarding paperwork and employee files.
- Proficiency with MS Office, including Excel and Outlook, for data management and communication.
- Strong customer focus and excellent communication skills, both written and verbal.
- Outstanding organizational skills and strong attention to detail, with the ability to manage multiple tasks and deadlines.
- Demonstrated ability to exercise sound judgment and safeguard confidential information.
- Ability to learn quickly, take initiative, and work independently while collaborating effectively with the team.
- Positive, proactive attitude and willingness to take on a variety of tasks and not shy away from work.
- Experience working with applicant tracking systems (ATS), with iCIMS preferred.
- Prior experience providing administrative support in a recruitment or HR environment.
- Experience with data management, including maintaining spreadsheets and tracking information for temporary staff and new hires.
- Interest in employer branding activities and supporting career fairs.
- Ability to contribute to process improvements in onboarding, documentation, and vendor management.
This role is based in the Burnaby, BC office in a hybrid work model, typically with three days in the office (Monday, Tuesday, and Thursday) and two days working from home, while most of the team works Monday through Friday. Weekly hours range from 35 to 40 per week, depending on the candidate. The dress code is business casual. You will work closely with two recruiters and be part of a core talent acquisition group of about six people within a broader HR team of approximately 14 across regions. Pay and BenefitsThe pay range for this position is $24.00 - $33.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
