WHAT YOU WILL DO
Reporting to the Business Manager and supporting the Safety Coordinator, the Administrative Assistant is responsible for providing safety-focused administrative and operational support across Forsite's offices, including safety documentation, tracking, reporting, training coordination, audit preparation and health and safety program support. The role also supports office administration, finance documentation, travel coordination, employee timesheet processing and CORE software administration.
- Lead day-to-day safety administration, including recording and filing safety documents, maintaining tracking spreadsheets, supporting safety meetings, preparing safety committee agendas and minutes, and ensuring safety records are organized, current and accessible.
- Coordinate safety compliance activities, including obtaining and filing driver abstracts for all applicable provinces, tracking vehicle insurance and personal vehicle agreements, gathering safety statistics for applications, and supporting provincial audit preparations.
- Support incident, investigation and training processes by processing and tracking incident documentation, booking first aid courses, preparing safety updates and reports, setting up safety files for new employees, and downloading required documents from BambooHR.
- Maintain Health and Safety program materials by updating the H&S Plan, replacing outdated forms with current versions, filing completed safety documents, and supporting visitor safety orientations.
- Provide general office and operations administration, including ordering office supplies, arranging courier shipments, answering phones, processing mail and fuel receipts, completing filing and scanning, and coordinating accommodation and travel bookings through Melon and direct hotel contact.
- Support finance, payroll and systems administration, including gathering, matching, coding and filing receipts and statements; supporting credit card, vendor, AP, IRL, and JPL documentation; processing timesheets; generating reports; and assisting with CORE, BambooHR and Melon employee or project updates.
WHAT YOU WILL NEED

Must have:
- Strong attention to detail and accuracy when maintaining safety records, tracking spreadsheets, incident documentation, receipts, statements, processing timesheets, records and reports.
- Proficiency with Microsoft Office tools, especially Outlook, Excel and Word, and comfortable learning internal systems, safety documentation processes and business software.
Strong assets:
- Experience supporting health and safety programs, incident tracking, audit preparation, training coordination, driver abstract tracking or safety committee administration.
- Experience with NetSuite, CORE, BambooHR, Melon, AP processes, payroll support, safety documentation or similar business systems.
- Experience supporting forestry, natural resources, consulting, multi-office operations or field-based teams.
