Lambert Nemec Group, is partnering with our client to recruit an experienced Executive Assistant to provide high-level administrative and operational support to senior leadership. This is an excellent opportunity for a highly organized, proactive professional who is comfortable working with executives, managing confidential information, coordinating complex schedules, and ensuring priorities are handled efficiently and professionally.
Key Responsibilities- Provide high-level administrative and organizational support to senior executives and leadership.
- Manage complex calendars, coordinate meetings, and proactively identify and resolve scheduling conflicts.
- Coordinate domestic and international business travel, including flights, accommodations, transportation, and detailed itineraries.
- Prepare and organize meeting materials, agendas, presentations, reports, and business correspondence.
- Attend meetings as required, record meeting minutes, track action items, and ensure appropriate follow-up.
- Manage confidential and sensitive information with a high degree of discretion and professionalism.
- Coordinate internal and external communications on behalf of senior leadership.
- Prepare and process expense reports, invoices, purchase orders, and other administrative documentation.
- Maintain organized electronic and physical filing systems and ensure information is accurate and accessible.
- Assist with special projects, research, presentations, and other initiatives as directed by senior leadership.
- Serve as a key point of contact for internal and external stakeholders, demonstrating professionalism and sound judgment.
- Anticipate executive needs, identify potential issues, and take initiative to keep priorities and day-to-day operations moving forward.
- 5+ years of experience providing administrative or executive support, ideally supporting senior leadership or C-suite executives.
- Proven ability to manage complex calendars, travel arrangements, meetings, and competing priorities.
- Exceptional organizational skills with strong attention to detail and follow-through.
- Excellent written and verbal communication skills, with the ability to interact confidently with executives and stakeholders at all levels.
- Strong discretion and ability to manage confidential and sensitive information.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Highly proactive, resourceful, and solutions-oriented, with the ability to anticipate needs and work independently.
- Strong judgment, professionalism, and ability to remain composed in a fast-paced environment.
- Post-secondary education in Business Administration, Office Administration, or a related field is an asset.
- Competitive salary range of $70,000-$85,000 based on experience.
