Procurement & Production Coordinator About Eden Projects Ltd.

Eden Projects is one of Vancouver Island's premier outdoor living design-build studios, based in Victoria, BC. For 20 years we've designed and built bespoke, complex residential landscapes — construction-informed from day one and still deeply process-driven. We lean into innovative materials and methods, curate plant-driven spaces with real horticultural rigor, and take genuine pride in the craft of our sector.

The Opportunity

Design and Build execution sit side by side at Eden Projects, both steered by our Creative Director, who owns every client relationship from start to finish. You'll work alongside our Studio Coordinator (who supports the Design studio) and sit right at the handoff point where projects move from Design into Construction: Tendering, Preconstruction, and Procurement.

This role will act as the assistant to the Creative Director, who leads our builds with infectious energy and incredible pace. You'll own tracking and reporting, budgets, sourcing, keeping trades and suppliers up to speed, handling project-specific A/P and A/R, and keeping clients and collaborators in the loop with enthusiastic, on-the-ball correspondence. Your week will find you in the office, on site, or elbow-deep in material samples and fabrication details.

Where You'll Shine

Design-to-Build HandoffYou'll take projects from approved design straight into action, building the initial budget, collecting design assets, and sourcing materials so nothing goes to bid without a solid number behind it. You're the go-to support for clients and trades once the Creative Director hands things off.

Bidding & SchedulingYou'll help estimate budgets, organize preconstruction site visits, and send bid invitations, then keep everyone honest with clear financial reporting that flags problems before they become expensive ones.

Financial & Contract AdministrationBudgets, contracts, change orders, deposits, draws, margin tracking. You'll be the person who always knows where a project actually stands financially.

Client Communication SupportYou'll help draft the weekly recaps that keep clients in the loop, and support the small touches (appliances, furniture) that make a build feel personal.

Brand Ambassador (shared with the Studio Coordinator)Grab a photo or video on site, build a slide deck in Canva, help with an award submission. Your work shows up in more than just spreadsheets.

Systems & AdminKeep JobTread and Google Drive clean, organized, and build-ready, so the whole team can move fast without hunting for files.

What We Offer
  • $48,000–$50,000/yr, commensurate with experience

What We're Looking For
  • A few years in construction coordination, project/site administration, or A/P-A/R (landscape/build experience a strong asset, not a requirement)

  • Comfort working with budgets: tracking costs, flagging overruns, understanding margin

  • Strong organizational skills and sharp attention to detail

  • Clear written and verbal communication for client- and subcontractor-facing work

  • Proficiency with Google Workspace; experience with JobTread or similar project management tools a plus

  • Comfortable juggling multiple workflows across finance, sales, and admin without losing accuracy or momentum

  • Comfort with Canva and Instagram
