Giatec Scientific Inc. is seeking a hands-on, operationally minded Customer Success and Solutions Specialist to anchor the hardware side of our customer-facing operations. This is not a traditional support role. It is a coordination and execution role at the intersection of customer success, hardware deployment, and operational reporting, with direct visibility into how Giatec's IoT technology is deployed, supported, and scaled across new and active customer accounts.
The ideal candidate brings a strong customer service and customer success orientation, has owned operational outcomes in a professional setting, and is comfortable navigating both field realities and back-office systems. You will serve as the central operational hub for both new hardware rollouts and the ongoing support of customers already running on Giatec technology, owning the deployment cadence, the stock and capacity picture, the day-to-day health of in-life deployments, and the consolidated reporting that leadership relies on to make decisions.

The opportunity
Reporting to the Manager, Inventory & Logistics, the Inventory & Logistics Specialist is responsible for the day-to-day movement, receiving, storage, and tracking of materials and finished goods - across our Ottawa and US warehouse locations and out to our contract manufacturers and customers worldwide.
This is a hands-on role, and a senior one within the team. You'll handle international shipments and the documentation that goes with them, keep inventory accurate across multiple sites, and act as the primary backup for the Manager during vacation, absences, and peak periods. We're looking for someone with the experience and judgment to keep things running independently when they need to.
What you'll do
Shipping and receiving
- Coordinate inbound and outbound shipments with carriers and courier services, selecting service levels appropriate to cost and urgency.
- Process domestic and international shipments and prepare the required documentation, including commercial invoices, HS classifications, Incoterms, and certificates of origin.
- Package and prepare customer orders, inter-site transfers, and materials for shipment.
- Receive and verify incoming materials against purchase orders, and flag discrepancies for resolution.
- Track shipments in transit and follow up on delays, customs holds, or delivery issues.
Process returns, replacements, and warranty shipments.
Inventory and material movement - Maintain accurate inventory records across Giatec's warehouse locations in Ottawa and the United States, and for stock held at contract manufacturer sites.
- Repack and kit raw materials for shipment to Giatec's contract manufacturers, working to spec and on schedule.
- Execute inventory transfers between locations, including the cross-border documentation that Canada-US movements require.
- Perform cycle counts, investigate inventory discrepancies, and assist with reconciliations.
- Support period-end inventory reporting.
Systems and coordination - Process shipping, receiving, transfer, and inventory transactions accurately in the ERP system.
- Work with Sales, Accounting, Engineering, suppliers, and carriers as required.
- Identify operational issues and recommend improvements to the Manager.
- Maintain a clean, safe, and organized warehouse.
Coverage - Act as the primary backup for the Manager, Inventory & Logistics during vacation, absences, and peak periods, keeping day-to-day operations running and escalating appropriately.
What you bring :
Required - 4+ years of hands-on experience in shipping and receiving, inventory control, freight handling, warehouse operations, or order fulfillment.
- Post-secondary training in shipping and receiving, inventory control, freight handling, or warehouse operations, or equivalent hands-on experience.
- Direct experience preparing international shipping and customs documentation.
- Experience maintaining inventory across more than one physical location, including inter-site transfers.
- Working knowledge of an ERP or inventory management system, and genuine comfort with transactional accuracy.
- Strong Excel skills, including the ability to analyze inventory and shipping data - not just read a report.
- Strong attention to detail and organizational skills.
- Ability to manage multiple competing priorities and solve problems independently.
- A track record of working independently in a prior role, with sound judgment about what to decide and when to escalate.
- Strong written and verbal communication skills.
- Comfortable lifting and moving packages up to 50 lbs (23 kg).
- Ability to work on-site in Ottawa 5 days a week.
Nice to have - Experience with NetSuite.
- Prior experience shipping dangerous goods, including products containing lithium batteries.
- Exposure to export controls or product regulatory certification requirements.
