As an RFP Coordinator, you will lead the end-to-end response process for Requests for Proposals (RFPs), ensuring submissions are accurate, compliant, and delivered on time. This role requires a confident and thoughtful professional who can work independently, apply strong critical thinking, and collaborate effectively across teams. You will play a key role in shaping high-quality proposal responses that reflect both precision and professionalism.
Responsibilities:

  • Manage the full lifecycle of RFP/RFI/RFQ responses from intake through submission
  • Analyze RFP requirements and translate them into clear action plans
  • Collaborate with internal teams to gather necessary information and insights
  • Apply critical thinking to develop tailored, accurate, and compelling responses
  • Ensure all submissions meet client requirements, compliance standards, and deadlines
  • Act as a central point of coordination, maintaining clear and professional communication across teams
  • Communicate with Sales and customers to clarify requirements and expectations
  • Maintain and continuously improve a centralized library of proposal content and past submissions
  • Identify opportunities to strengthen response quality, consistency, and process efficiency
  • Ensure adherence to established RFP processes, templates, and timelines to maintain consistency and quality across submissions

Qualifications:

  • College Education in related field (Business, Administration) or related experience
  • Strong organizational and problem-solving skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Demonstrated ability to think critically and interpret complex requirements
  • Confident, self-motivated, and capable of working independently with minimal supervision
  • Humble and collaborative mindset, open to feedback and team input
  • Strong time management skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Location: Burlington, Ontario (in-office position)
Hours: Monday - Friday, 40 hours.
Vacancy: This is an existing position.
Salary Range: $40K CAD - $45K CAD
