Client & Operations CoordinatorHandyman Connection – Victoria, BC
$26–$28/hour, based on experience
Handyman Connection Victoria is looking for a highly organized, tech-savvy and personable Client & Operations Coordinator to join our team.
This is more than an administrative or customer service position. You'll help keep clients, contractors and projects moving smoothly from the first phone call through scheduling, completion and follow-up.
We're looking for someone who sees the whole picture. A missed detail or incomplete note can affect a client, contractor, schedule and job. You notice those connections, take ownership and follow things through.
What You'll Do
- Respond to client calls, emails, texts and online requests
- Ask the right questions, understand the requested work and document it accurately
- Schedule assessments, jobs and follow-ups
- Coordinate communication between clients, contractors and the office
- Track estimates, scheduled work, outstanding items and follow-ups
- Maintain accurate client, contractor and job information
- Keep clients informed throughout the process
- Help contractors get the information they need to succeed
- Identify missing information, scheduling conflicts and potential problems before they become bigger issues
- Assist with reports, documentation and general office administration
- Look for ways to improve processes and make the office more efficient
You are someone who:
- Has strong customer service and administrative skills
- Is friendly and approachable, but comfortable having direct conversations when needed
- Has excellent attention to detail
- Can juggle multiple priorities without losing track of follow-ups
- Takes initiative rather than waiting to be told every next step
- Communicates professionally by phone, email and text
- Is confident learning new technology and troubleshooting basic issues
- Is comfortable working independently and taking ownership of responsibilities
- Stays calm and solutions-focused when schedules or priorities change
Technology Matters
Strong computer literacy is essential. You should be comfortable working with job-management or CRM software, email, calendars, spreadsheets, cloud-based documents and multiple systems throughout the day.
AI experience is an asset—and we mean more than using ChatGPT or Claude as Google. We're interested in people who have used AI or other technology to improve a process, create a useful tool or template, organize information, solve a problem or eliminate repetitive work.
Curiosity and the willingness to keep learning matter to us.
The Right Person
You're organized without being rigid, professional without being cold, and friendly without avoiding accountability.
Clients feel looked after when they speak with you. Contractors want to work with you because you're helpful, respectful and reliable. And when something doesn't look right, you investigate rather than assuming someone else will handle it.
You won't know everything on day one. We do expect you to ask questions, learn how our business works and eventually understand how a job moves through our entire system.
Location: Esquimalt, Victoria, BC
Position: Full-time
Compensation: $26–$28/hour, based on experience
Schedule: Monday to Friday 8:30 am to 4:00 pm
Benefits: Company benefits upon completion of 90 day probationary period
To Apply
Please submit your résumé and answer this question:
Tell us about one practical way you've used technology or AI to improve a process, solve a problem or save time.
We're not looking for the most technical answer. We want to understand how you think, learn and solve problems.
