GIL works closely with funders, including the County of Wellington, Ontario Health and is governed by a volunteer Board of Directors.Position SummaryGIL is seeking a highly organized, discreet, and proactive Executive Assistant to provide direct administrative and organizational support to the Executive Director. This role is central to the smooth operation of the Executive Director's office, acting as a key liaison between the Executive Director, the Board of Directors, staff, funders, and community partners. The successful candidate will help ensure that governance, funder-reporting, and day-to-day administrative functions run efficiently and professionally.This is an excellent opportunity for someone early in their career who wants meaningful, varied work in the community and social services sector.Key ResponsibilitiesExecutive & Administrative SupportManage the Executive Director's calendar, correspondence, and meeting schedulingPrepare, format, and proofread reports, memos, letters, and presentation materialsCoordinate travel, appointments, and logistics as neededHandle sensitive and confidential information with discretionManage and assist with program needs like ordering supplies, annual event management like Christmas dinner, Community Picnic, and others as assigned. Board & Governance SupportPrepare and distribute Board meeting agendas, packages, and minutesAssist in maintaining accurate governance records, policies, and by-law documentationSupport the coordination of Board and committee meetings, including scheduling and logisticsTrack action items arising from Board and committee meetings and follow up on outstanding itemsFunder & Compliance SupportAssist in preparing documentation for funder audits, reviews, and reporting requirements (e.g., County of Wellington)Help maintain organized records and trackers related to compliance and reporting deadlinesSupport the preparation of funding proposals, RFP responses, and related correspondenceOrganizational SupportLiaise professionally with staff, Board members, funders, and community partners on behalf of the Executive DirectorSupport the planning and coordination of organizational events, meetings, and special projectsMaintain filing systems (digital and physical) for the Executive Director's officeUndertake other administrative duties as assignedQualificationsPost-secondary diploma or degree in Business Administration, Office Administration, or a related field (or equivalent experience)0–2 years of experience in an administrative or executive support role; experience in a nonprofit, community service, or healthcare setting is an assetExcellent written and verbal communication skillsStrong organizational skills with the ability to manage multiple priorities and deadlinesHigh level of discretion and sound judgment when handling confidential informationProficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfort learning new software toolsExperience supporting Board or committee governance processes is an assetA valid driver's license and access to a vehicle.What GIL OffersCompetitive salary commensurate with experienceA supportive, mission-driven team environmentOpportunity to gain broad exposure to nonprofit governance, funder relations, and community service operationsGuelph Independent Living is an equal opportunity employer.
