About the Opportunity

We are looking for a highly organized, detail-oriented, and dependable Accounting Administrator to join our team in Markham, Ontario.

In this role, you will support the company's day-to-day accounting, bookkeeping, administrative, and operational functions. You will work closely with management, employees, customers, vendors, and internal teams to ensure financial records, payments, documentation, and administrative processes are accurate, timely, and properly maintained.

What You'll Do

Accounting & Bookkeeping

  • Manage day-to-day accounting activities, including accounts payable, accounts receivable, general ledger, journal entries, and financial transactions.
  • Process invoices, payments, customer receipts, collections, and vendor accounts accurately and on time.
  • Perform bank, credit card, and other account reconciliations and investigate discrepancies.
  • Prepare and maintain financial statements, bookkeeping records, schedules, and supporting documentation.
  • Assist with month-end and year-end closing procedures, including reconciliations and adjusting entries.
  • Prepare and assist with GST/HST filings, remittances, and other tax-related accounting requirements.
  • Monitor accounts receivable and follow up on overdue balances.
  • Assist with credit and collections activities.

Payroll & Employee Administration

  • Process payroll and maintain accurate payroll, vacation, attendance, and related records.
  • Maintain confidential employee records and personnel files.
  • Support employee onboarding and offboarding processes.

Office & Administrative Support

  • Manage incoming emails, telephone calls, correspondence, filing, and general office administration.
  • Prepare, organize, and maintain company documents, reports, records, and administrative files.
  • Coordinate communications and documentation with customers, vendors, suppliers, service providers, and internal departments.
  • Assist management with reports, scheduling, operational projects, and other administrative initiatives.
  • Provide general administrative and accounting support to management and other departments.

Inventory & Operations

  • Maintain and reconcile inventory and product records.
  • Monitor stock levels and coordinate with warehouse operations as needed.
  • Assist with operational projects and other accounting or administrative duties as assigned.

Qualifications & Requirements

  • Minimum 2 years of experience in bookkeeping, accounting administration, office administration, or a related role.
  • Strong understanding of basic bookkeeping and accounting principles.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience with QuickBooks or similar accounting software is an asset.
  • Strong organizational, analytical, and time-management skills.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently with minimal supervision.
  • High school diploma or equivalent required.
  • Post-secondary education in accounting, business administration, or a related field is an asset.
  • A satisfactory credit history may be required due to the financial nature of the position.

Language Requirements

Fluent English, both spoken and written, is required.

Mandarin and/or Cantonese is considered an asset. Additional language skills are also an asset.
