Position Summary

We are seeking an experienced and highly organized Logistics Coordinator to join a fast-paced 3PL operation specializing in refrigerated, temperature-controlled, and perishable freight.

The Logistics Coordinator will be responsible for managing shipments from order entry through final delivery, working closely with customers, carriers, drivers, and internal teams to ensure freight is moved safely, efficiently, and on time.

This role requires someone who understands that perishable freight doesn't wait. The successful candidate will be proactive, detail-oriented, and comfortable making quick decisions when dealing with appointment changes, capacity challenges, border delays, temperature requirements, and other time-sensitive transportation issues.

Key Responsibilities

  • Coordinate reefer and temperature-controlled shipments throughout Canada and the United States.
  • Manage shipments from initial order entry through pickup, in-transit tracking, and final delivery.
  • Schedule and confirm pickup and delivery appointments with customers, warehouses, shippers, and receivers.
  • Source and secure reliable carrier capacity for refrigerated freight.
  • Communicate load requirements, temperature settings, appointment times, and special handling instructions to carriers.
  • Track shipments proactively and provide customers with accurate, timely status updates.
  • Monitor transit times and immediately address potential delays, missed appointments, breakdowns, border issues, or service failures.
  • Obtain and verify required shipment documentation, including Bills of Lading, PODs, temperature information, and cross-border documentation.
  • Ensure carriers understand and comply with customer-specific SOPs and food-safety requirements.
  • Assist with spot quoting and carrier rate negotiations as required.
  • Maintain accurate shipment information within the Transportation Management System (TMS).
  • Build strong working relationships with customers and carrier partners.
  • Resolve freight claims, shortages, temperature issues, and delivery discrepancies in partnership with management.
  • Work closely with Sales and Account Management to ensure customer expectations and service commitments are met.
  • Identify opportunities to improve routing, service levels, carrier performance, and transportation costs.
  • Maintain accurate customer SOPs and ensure special account requirements are consistently followed.

Qualifications

  • 2+ years of logistics, transportation, freight brokerage, or 3PL experience preferred.
  • Previous experience coordinating reefer, refrigerated, food-grade, or perishable freight is strongly preferred.
  • Experience with Canada/U.S. cross-border transportation is an asset.
  • Strong understanding of FTL transportation, with LTL experience considered an asset.
  • Experience sourcing carriers and negotiating freight rates is preferred.
  • Knowledge of temperature-controlled transportation requirements and food-safety considerations.
  • Experience working with a Transportation Management System (TMS) and load boards.
  • Strong computer skills, including Microsoft Outlook and Excel.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to prioritize effectively and remain calm when managing time-sensitive freight issues.
  • Strong customer-service mindset with a sense of urgency and accountability.
