The Workplace Administrator provides administrative and operational support to workplace coordinators and workplace leadership, ensuring the smooth day-to-day operation of the Surrey offices. This role is a key support resource for front desk services, office administration, employee experience, and workplace programs. The Workplace Administrator helps maintain a welcoming, organized, and efficient workplace while delivering excellent customer service to employees, visitors, and vendors.
Responsibilities- Serve as backup and provide coverage for front desk and reception services.
- Greet and direct visitors, candidates, vendors, and customers in a professional and friendly manner.
- Monitor visitor management systems and issue visitor credentials in accordance with site procedures.
- Answer phones, intercom calls, and general office inquiries promptly and accurately.
- Ensure reception and common areas remain professional, clean, and welcoming at all times.
- Maintain a safe, clean, and organized office environment across shared spaces.
- Manage shared office inboxes and respond to routine inquiries in a timely manner.
- Assist with data entry, document preparation, filing, scanning, and ongoing record maintenance.
- Support meeting scheduling, room bookings, and calendar coordination for internal stakeholders.
- Monitor site parking and overflow lots, including occasional car park walks.
- Assist with planning and execution of employee events, celebrations, meetings, and engagement activities.
- Support onboarding activities, including workstation readiness and new hire welcome preparations.
- Help coordinate catering, room setups, and event logistics for onsite events.
- Support larger workplace projects and space planning initiatives as needed.
- Assist the broader facilities team with administrative tasks and hands-on activities, including moving items weighing up to 20 lbs.
- Work occasional extended hours when required to support events or business needs.
- Collaborate closely with a small team of administrators and workplace professionals to deliver a consistent employee experience.
- Provide excellent customer service to internal and external stakeholders, resolving issues and escalating concerns when appropriate.
- High school diploma or GED.
- Minimum of 2 years of receptionist, administrative assistant, and/or front desk experience.
- Demonstrated administrative support experience, including clerical tasks and office coordination.
- Strong customer service orientation with a focus on creating a positive experience for employees and visitors.
- Proficiency in Microsoft Office Suite, including Outlook, and ability to learn new systems quickly.
- Experience with data entry, filing, scanning, and maintaining organized records.
- Excellent organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
- Strong written and verbal communication skills for interacting with diverse stakeholders.
- Ability to multitask while maintaining attention to detail in a fast-paced environment.
- Flexibility to adapt to changing priorities and support a variety of workplace needs.
- Ability to lift and move items weighing up to 20 lbs as part of facilities and event support.
- Experience working in a construction or manufacturing environment is an asset.
- Comfort working both collaboratively within a team and autonomously when needed.
- Team-player mindset with a willingness to support colleagues and share responsibilities.
- Ability to contribute to employee engagement initiatives and workplace events.
- Interest in workplace operations, facilities coordination, or office management.

Pay and BenefitsThe pay range for this position is $18.00 - $23.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
