Job Overview
We are looking for a Scheduler to join our team. Heidehof offers a range of quality living environments and services for seniors.
The Scheduler is responsible for coordinating, organizing, and maintaining schedules to ensure smooth daily operations.
Responsibilities & Duties
- Maintains staff schedules (e.g., master rotation) in accordance with collective agreement requirements and departmental policies/procedures.
- Calls and schedules staff for replacement of short-notice absences, leaves of absences (e.g., vacations, extended sick leaves).
- Create and schedule staff according to staff availability.
- Answer department's phone calls and emails.
- Manage the overall scheduling system and ensure that all schedule updates and changes are reflected on the system.
- Posting of job vacancies when required, as per the collective agreement.
- Formats, prints, and posts staff schedules.
- Respond, follow up, or act upon any system generated notifications received.
- Send reminders to staff regarding policies and procedures on accepting and declining shifts, changing of availability, and requests for time off.
- Develop and maintain good working relationship with staff.
- Prepare, maintain, and submit required reports.
- Perform additional duties as required.
Qualifications
· At least two years of job-related experience
· Proficient in MS Office and payroll software, with strong MS Excel skills.
· Ability to manage confidential and sensitive matters with discretion.
· Quick-thinking and adaptable professional, committed to excellent customer service and thriving in fast-paced, multitasking environments.
· Ability to speak and understand German is an asset.

Working Terms
· Office Hours are Monday to Friday 8:30-4:30
