Role Summary

The Procurement Administrator will be responsible for providing general administration support to the Procurement Team in relation to raising purchase orders, document storage, data integrity analysis and any other duties when required to provide an efficient and responsive service in a demanding but rewarding team environment.

Responsibilities

  • Create New Purchase Orders.
  • Follow up with suppliers to ensure Purchase Orders and contracts are countersigned.
  • Follow up on pending shipments and shipping documents from suppliers.
  • Verify all shipping documents to ensure no discrepancies.
  • Ensure payments are processed in a timely manner.
  • Follow up with suppliers to ensure shipments are released in a timely manner.
  • Communicate with internal stakeholders on advised delays.
  • Work with the documentation team for the issuance and processing of lines of credit.
  • Create transfer to send the product, communicate repack instructions, gather costs for the order, track, and arrange return shipment.
  • Ensuring accurate record-keeping in data entry systems.
  • Respond to customer service inquiries and clarify requirements and provide information as needed.
  • Track logistics of delivery schedules, monitor progress and contact internal clients and suppliers to advise delays and resolve problems.
  • Other duties as assigned.

Qualifications/Skills

  • Strong communication skills, both written and verbal, are required.
  • Organizational skills, accurate record keeping and tracking orders.
  • Strong Microsoft Office skills are important (Outlook, Word, Excel including pivot tables).
  • Time management skills, ability to prioritize and ensure deadlines are met, and general tasks completed in a timely manner.
  • Must be a team player, working closely with other departments and 3rd parties to maintain a professional and helpful demeanour.
  • Self-motivator with the ability to do what's needed to complete tasks.

The annual base salary for this role is expected to fall between $55,000 and $70,000.
