As a Warehouse Associate/Admin you will be accountable for the accurate and efficient administration of warehouse operations. Approximately 70% of the role is focused on paperwork and documentation, receiving and shipping, dispatch coordination, and booking trucks with carriers. The remaining 30% supports warehouse organization, including putting away stock, general housekeeping, and occasional order picking. Strong attention to detail, organizational skills, and collaboration with the warehouse team to uphold company policies and safety standards are key aspects of this role.

What you will be responsible for:

Core Duties – Documentation, Receiving, Shipping & Dispatch

Receiving & Shipping:

  • Examines all ingoing and outgoing shipments to verify accuracy and condition.
  • Checks, verifies, and fills customer orders against packing slips and purchase orders.
  • Ensures that all customer orders are fulfilled to meet or exceed company standards prior to shipping.
  • Completes and files all shipping and receiving paperwork, including bills of lading, packing slips, and delivery documentation.

Dispatch & Truck Booking:

  • Books and schedules inbound and outbound trucks with carriers and transportation providers.
  • Calls customers to schedule and confirm pickup and delivery appointments, coordinating timing to ensure timely dispatch of shipments.
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Report maintenance or equipment problems to appropriate personnel.

Data Entry & Administration:

  • Utilize software to track and update sales order availability.
  • Ensure accurate data entry and maintenance of records for orders, inventory, and shipments.
  • Review, evaluate, and implement new administrative procedures.
  • Prints, sorts, and arranges paperwork and documentation in an organized manner.

Warehouse Support Duties

Warehouse Organization & Put-Away:

  • Put away received stock in designated locations promptly and accurately.
  • Maintain organized and clearly labeled storage areas to optimize warehouse space and workflow.
  • Regularly monitor and track inventory levels, coordinating with the procurement team to restock and replenish as needed.

Housekeeping:

  • Keeps warehouse clean and organized daily.

Order Picking (Occasional):

  • Assists with picking and filling customer orders as needed to support the order fulfillment process.
  • Performs quality checks on picked orders to ensure accuracy prior to shipping.

What we need from you:

  • High school diploma or equivalent
  • Proven experience in administration
  • Proven experience with receiving, shipping, or dispatch administration in a warehouse environment
  • Proficiency with company warehouse management software, Microsoft Office, and general administrative systems, including receiving inventory into the system accurately
  • Basic familiarity with warehouse equipment (e.g. hand truck, pallet jack) and adherence to safety protocols; forklift experience an asset
  • Comfortable with paper handling and documentation, with a high level of accuracy when receiving inventory
  • Strong communication skills, both written and verbal, required for calling customers to schedule pickups and coordinating with the team
  • Strong organizational skills
  • Proficiency in data organization and goal-oriented project management
