Tap-Roots Plumbing & Heating Ltd. has been a trusted name in mechanical construction across the Lower Mainland, working alongside our sister companies, Point Grey Plumbing & Heating and Pronex Air Systems Inc. We specialize in the planning, coordination, and execution of residential, commercial, and institutional plumbing and mechanical construction projects, from pre-construction through closeout.


We're currently looking for a Project Coordinator to join our team on new construction projects across the Greater Vancouver Area. As a Project Coordinator, you will support the Project Manager by managing the logistical and administrative details of assigned projects, processing paperwork, and maintaining files. The ideal candidate is diligent in document control, able to handle multiple projects at once and enthusiastic about expanding their knowledge of the mechanical construction field. Key Responsibilities & Duties:
• Submit, track, and distribute RFIs, shop drawings, site instructions, and drawings via Procore and email with site staff, trades, and project stakeholders.
• Process project RFIs, with the ability to create and follow up on mechanical-specific RFIs.
• Process and issue site instructions to trades and vendors, interpreting instructions and assisting with estimates and quotes for the Project Manager to review.
• Manage site safety documentation for all staff and subtrades.
• Assist the Project Manager and Site Foreman with progress photos, testing reports, and QA/QC.
• Coordinate with suppliers for equipment and material deliveries, and help track the prefabrication schedule.
• Participate in the QA/QC and commissioning process to support project closeout.
• Prepare Operations & Maintenance (O&M) manuals and other closeout documentation, including LEED documentation as required.
• Manage project correspondence, organize project files, and issue documents to the correct parties.
• Assist with securing permits and coordinate with admin to book inspections.
• Conduct site visits and prepare progress reports for the Project Manager to review for billing purposes.
• Update project and department logs.
• Attend and participate in project meetings as required.
• Provide project management backup as required.
• Suggest methods to improve processes, efficiency, and service delivery.
• Perform other duties as required.

• Proven work history as a Mechanical Project Coordinator, or in a similar administrative/coordination role in construction.
• Ability to maintain good working relationships with personnel across departments.

• Diploma or degree in Mechanical Engineering, Project Management, or a related field.
• Prior experience as a Project Coordinator or in a similar administrative/document control role, ideally in mechanical or construction.
• Proficiency in Microsoft Office and Bluebeam
• Familiarity with Procore, Revizto, Revit, AutoCAD, Microsoft Project, or Navisworks is considered an asset.
• Legally entitled to work in Canada.
