Opportunity:

Vault is seeking a highly organized, proactive, and professional Executive Assistant to the CEO to provide administrative and operational support to our CEO and team. This is a dynamic role for someone who enjoys variety, takes initiative, and thrives in a fast-paced environment. The successful candidate will play an important part in keeping the office running smoothly, supporting executive priorities, coordinating meetings and schedules, and acting as a trusted point of contact for staff, partners, vendors, and partners. This opportunity is ideal for a dependable, detail-oriented individual who brings strong communication skills, sound judgment, and a positive, solutions-focused approach to their work. Vault supports a flexible hybrid work environment with a mix of in-person collaboration and remote work. Emphasis is placed on producing high-quality work and meeting deadlines, not necessarily where or when hours are worked.

Specificresponsibilitiesinclude,butarenotlimitedto,thefollowing:

  • SupporttheCEOandleadershipteamwithplanning,logistics,andschedulingofevents,strategicmeetings,off-sites,andagendas.
  • Mustbehighlyskilledinbookingtravelandmanagingfast-paced,ever-changingschedulestosupportbusinesspriorities.
  • Responsibleforthetimelyandaccuratesubmissionofexpensesonbehalfofexecutives.
  • Usesstrongjudgmentandinitiativetoanticipateneeds,managecompetingpriorities,andsupportexecutiveproductivity.
  • Planandcoordinatecompanyevents,leadershipoff-sites,investormeetings,partnervisits,andexecutivegatherings.
  • Serve as a point of contact for employees regarding office needs, supplies, logistics, and administrative support.
  • Trackadministrativedeadlines,renewals,subscriptions,contracts,andoffice-relatedexpenses.
  • Order,track,andmaintainofficesupplies,equipment,snacks,andotherworkplacenecessities.
  • Coordinaterepairs,maintenancerequests,ITsupportneeds,andofficeequipmentservice.
  • Businesscardandothermarketingmaterialorderingandorganization.
  • Liaise with building management, IT, finance, HR, legal, and other departments to support executive operations.
  • Pointofcontactforthebuilding,includingsubmittingpermitsandguestsintothesystem.
  • Responsibleforupdatingvariousadministrativedocumentsandsystems
  • FacilitateofficemovesandmanagementofCalgary,andsupportfortheDenveroffice

SkillsandQualifications:

  • Have 5-10 years of experience providing dedicated support to a CEO or senior-level executive, ideally in a fast-paced, small to mid-sized organization where the EA role is hands-on and highly involved.
  • Ability to operate with the highest level of integrity, discretion, and professionalism, particularly when handling sensitive or confidential information.
  • Experiencemanagingofficeoperations,vendors,supplies,andfacilitiescoordination.
  • Exceptional customer service skills, with strong written and oral communication abilities and a responsive, professional approach.
  • Strong interpersonal skills and the ability to interact professionally with executives, staff, partners, and vendors.
  • Self-motivated,proactive,dependable,andabletoworkindependently.
  • Impressive MS Office skills with Word, Excel, PowerPoint, Outlook, and Adobe, along with familiarity with BambooHR
  • AdvanceddigitalliteracyandexperiencewithAI
