The WestStone Group, a prominent development and construction company headquartered in Surrey city centre, is seeking a full-time Receptionist and office Administration Assistant with social media and marketing skills for our head office. This is an exciting opportunity to become a part of a progressive company with limitless growth. We have a diverse portfolio of projects including high-rise residential, purpose built rental buildings, townhomes, commercial spaces and more. This is a professional environment, and the ideal candidate will be highly organized and professional. The successful candidate will work closely with our Construction, Development and Finance Departments. Our office has a great social dynamic, and we all work closely together as a team, so it is essential that you have a good attitude and can effectively communicate with the other staff. We are located close to Surrey Central Skytrain statioin.

Roles and Responsibilities

· Act as WestStone's first point of contact person.

· Answer phone calls with personable phone etiquette and redirect to the proper department.

· Manage the reception email and other project-related email accounts.

· Knowledge of social media and marketing skills is preferred.

· Schedule courier deliveries and distribute incoming packages.

· Schedule appointments and meetings for internal staff and external clients.

· Basic, routine maintenance of the copiers and printers, i.e., fill paper, replace toner, etc.

· Manage and maintain boardroom bookings and set up.

· Order and distribute office, kitchen, and janitorial supplies.

· Tidy, maintain, and stock the kitchen and boardrooms.

· Control the exterior parking and warning ticket parking offenders.

· Assist with coordination of office events, lunch meetings, and other event planning.

· Assist the Development, Construction, and Accounting teams with administrative tasks.

. Light data entry that may be requested by other team members

· Anything else required by senior management and the team to properly manage & maintain our service standards, including creating and implementing new processes as needed with the team.

Qualifications

· Strong organization and time management skills.

· Proficient with Microsoft Office: Outlook, Word, Excel, PowerPoint, and Teams.

· Excellent customer service skills.

· Strong interpersonal skills with the ability to work independently and as a team player.

· Excellent written and oral communication skills.

· Previous reception experience preferred.

· Real estate and construction knowledge is an asset but not a requirement.

· Valid driver's license and personal vehicle is an asset.

· Social media and marketing skills an asset.
