About the Job

The Reception & Office Administrator at Anchor Managed Solutions is the first point of contact for clients, vendors, employees, and guests. This role creates a friendly and professional experience for everyone who calls or visits Anchor's office.

The position is responsible for answering incoming calls, creating service tickets, welcoming visitors, preparing meeting spaces, and supporting the day-to-day administrative needs of the office. The ideal candidate is organized, approachable, dependable, and comfortable managing several priorities in a busy environment.

Key Accountabilities

  • Answer and direct incoming phone calls in a friendly and professional manner.
  • Gather relevant information from clients and create accurate service tickets for the technical team.
  • Welcome clients, vendors, candidates, and other visitors arriving at Anchor's office.
  • Notify employees when their guests have arrived and ensure visitors are directed appropriately.
  • Prepare the boardroom and other meeting spaces, including providing water, coffee, and required supplies.
  • Keep the reception area, boardroom, kitchen, and shared office spaces tidy, organized, and welcoming.
  • Monitor kitchen and office supplies and coordinate replenishment when required.
  • Coordinate lunch and refreshment orders for meetings, employee events, and special occasions.
  • Assist with planning and coordinating company events, client events, staff activities, and community initiatives.
  • Receive and distribute mail, courier deliveries, packages, and other correspondence.
  • Provide general administrative support, including filing, document preparation, data entry, scheduling, and record maintenance.
  • Assist with onboarding preparations for new employees, including coordinating workspaces and welcome materials.
  • Work with vendors and service providers to help support the smooth operation of the office.
  • Identify and suggest improvements to office procedures and administrative processes.
  • Provide additional administrative assistance to Anchor's leadership and team as required.

What You Bring to the Table

The Reception & Office Administrator is expected to have excellent customer service and communication skills, strong attention to detail, and the ability to remain organized while handling multiple responsibilities.

You are friendly, professional, and comfortable interacting with clients, employees, and visitors. You take pride in creating a welcoming office environment and are willing to step in wherever help is needed.

  • High School Diploma or equivalent.
  • Post-secondary education in office administration, business administration, or a related field is considered an asset.
  • Valid Saskatchewan Driver's License.
  • One or more years of experience in reception, office administration, customer service, or a similar role is preferred.
  • Excellent customer service and interpersonal skills.
  • A friendly, courteous, and professional manner, both in person and over the phone.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management abilities.
  • Strong attention to detail and accuracy when gathering information and creating service tickets.
  • Comfortable using Microsoft 365 applications, including Outlook, Word, Excel, and Teams.
  • Ability to learn new software and office systems.
  • Ability to manage confidential or sensitive information with discretion.
  • Ability to work independently while contributing positively to a team environment.
  • A dependable, proactive attitude and willingness to take ownership of office needs.
