Mechanical Project Coordinator

Location: Regina, Saskatchewan (Site-Based)

Role Overview

We are seeking a Mechanical Project Coordinator to support the planning, coordination, and execution of a major industrial construction project. This role works closely with Project Managers, Site Superintendents, and field leadership to ensure project activities are organized, documented, and progressing according to schedule. The Coordinator will be involved in all phases of the project lifecycle — from preconstruction through commissioning and closeout.

This is a site-based position on a high‑complexity, multi‑year build requiring strong organization, communication, and technical coordination skills.

Key ResponsibilitiesOpportunity & Proposal Support
  • Assist in identifying potential project opportunities and supporting early-stage business development efforts.
  • Contribute to proposal preparation, including gathering documentation, coordinating inputs, and supporting submission packages.
Pre‑Construction Coordination
  • Support Project Manager with project startup documentation, planning tools, and KPI tracking.
  • Assist with administrative project setup, document control structure, and workflow organization.
  • Participate in preconstruction planning activities including scheduling, logistics, procurement coordination, and HSE preparation.
  • Help prepare tender packages, evaluate subcontractor submissions, and support award documentation.
  • Coordinate with authorities for permits and regulatory approvals.
  • Work with technical teams on logistics planning, clash identification, and early-stage scheduling.
Construction Phase Support
  • Work closely with project leadership to reduce administrative burden and streamline field operations.
  • Support pull‑planning sessions and coordination meetings with subcontractors.
  • Assist with change order preparation, RFI tracking, shop drawing reviews, and information flow between trades and suppliers.
  • Update project budgets, schedules, and cost reports under direction of the Project Manager.
  • Participate in weekly progress meetings and maintain progress tracking tools.
  • Monitor productivity, subcontractor performance, and planned vs. actual progress.
  • Support billing schedules, invoicing, and client-facing financial documentation.
  • Assist with subcontract administration including notifications, value changes, performance tracking, and dispute resolution.
  • Identify issues early and support timely resolution.
  • Manage subcontractor submittals and documentation.
  • Build strong working relationships with clients, consultants, trades, and suppliers.
  • Support site HSE compliance and ensure project standards are upheld.
  • Assist with BIM/VDC coordination on site.
Post‑Construction & Closeout
  • Support deficiency tracking and resolution during final turnover and warranty periods.
  • Assist Project Manager with contractual and financial closeout activities.
  • Help prepare final reports, closeout documentation, and outstanding purchase order reconciliation.
Qualifications
  • Eligible for or holding E.I.T., P.Eng., CET, PQS, or similar technical designation.
  • 1–3 years of hands‑on project coordination experience in industrial, commercial, civil, or institutional construction.
  • Experience with mechanical or electrical construction trades is an asset.
  • Strong relationship‑building skills and ability to work collaboratively with diverse teams.
  • Ability to manage multiple priorities and work effectively under tight timelines.
  • Strong analytical, problem‑solving, and critical‑thinking abilities.
  • High attention to detail and accuracy in documentation.
  • Excellent communication skills — both written and verbal.
  • Positive attitude, strong work ethic, and ability to thrive in a fast‑paced environment.
