About Us

Lakhotia CPA is a growing Chartered Professional Accounting firm providing Business Financing, Assurance, Tax, Trust & Estate Planning, and Advisory services to entrepreneurs and privately owned businesses across Canada.

We are looking for a highly organized, proactive, and detail-oriented Administrative Assistant / Executive Assistant to support our team and help ensure the smooth day-to-day operation of our firm.

This is an excellent opportunity for someone who enjoys working in a fast-paced professional environment and wants to grow with an expanding firm.

Key Responsibilities

  • Answer and direct phone calls professionally.
  • Respond to client inquiries and coordinate follow-ups.
  • Prepare engagement letters, invoices, proposals, and other correspondence.
  • Manage client onboarding and maintain client records.
  • Coordinate document collection and upload information to client portals.
  • Maintain electronic filing systems and organize firm records.
  • Assist with workflow management and monitor deadlines.
  • Coordinate meetings, seminars, networking events, and marketing initiatives.
  • Perform data entry with a high level of accuracy.
  • Assist with special projects and other administrative duties as assigned.

Qualifications

  • Diploma or degree in Business Administration or a related field is an asset.
  • Minimum 2 years of administrative or executive assistant experience.
  • Experience in a professional services environment (accounting, legal, financial services, banking, or similar) is preferred.
  • Exceptional written and verbal communication skills.
  • Strong organizational and time management skills.
  • Ability to prioritize multiple tasks while meeting deadlines.
  • High level of professionalism and discretion when handling confidential information.
  • Strong attention to detail and accuracy.
  • Self-motivated with the ability to work independently.

Technical Skills

Experience with some or all of the following is an asset:

  • Microsoft Outlook, Word, Excel, and PowerPoint
  • Adobe Acrobat
  • Microsoft Teams
  • CRM or Practice Management software
  • TaxDome (preferred but not required)
  • QuickBooks Online (asset)
