Project Administrator
Location: Regina, SK
Schedule: Monday to Friday (on-site)
Type: 12 month fixed term contract ( with potential for extension )
Role Overview:
We are seeking a highly organized Project Administrator to support day-to-day project operations on a large-scale construction program. This role is ideal for someone who thrives in a fast-paced environment, has strong attention to detail, and enjoys supporting field and project teams. Prior construction experience is strongly preferred, particularly in industrial, commercial, or civil environments.
The Project Administrator will work closely with Project Managers, Superintendents, Coordinators, and site teams to ensure documentation, communication, and project controls are accurate and up to date.
This position will Monday to Friday on site at the construction site.
Key Responsibilities
•Provide daily administrative support to the project team, including document control, scheduling, and reporting
•Maintain project files, drawings, RFIs, submittals, change orders, and other documentation
•Assist with onboarding, site orientations, and maintaining safety documentation
•Support procurement activities including issuing POs, tracking deliveries, and maintaining logs
•Prepare meeting agendas, take minutes, and distribute action items
•Track project progress, update logs, and support weekly/monthly reporting
•Coordinate with subcontractors for documentation, schedules, and compliance requirements
•Assist with timesheet collection, coding, and verification
•Support project close-out activities including manuals, turnover packages, and documentation
•Provide general office and site administrative support as required
Qualifications
•Minimum of 3 years of administrative experience; construction experience strongly preferred
•Familiarity with construction terminology, workflows, and documentation
•Strong organizational skills with the ability to manage multiple priorities
•Proficient with MS Office (Excel, Word, Outlook); experience with Procore, SharePoint, or similar systems is an asset
•Excellent communication and interpersonal skills
•High attention to detail and accuracy
•Ability to work on-site Monday to Friday
•Team-oriented, proactive, and comfortable in a fast-paced environment
