Accountabilities
TheReceptionistis responsible for the overall management of office operations and provides essential support to CWL, H3M, and Cardon. This multifaceted role encompasses administrative tasks, front reception duties, budget-conscious office coordination, and event support. The Receptionist plays a pivotal role in fostering a productive and efficient work environment, supporting both administrative and executive functions across all three organizations.
Office Management/Logistics
- Scheduling and calendar management
- Manage the ordering, receiving, and storage of office supplies to ensure that essential items are always in stock
- Monitor and support budgeting for weekly and monthly office orders, ensuring cost-effective purchasing and appropriate inventory levels
- Maintain cleanliness and organization in the kitchen and common areas, ensuring sufficient supplies and that the overall office remains clean
- Manage the ordering, receiving, distribution, and expensing of any specially ordered supplies for clients and or projects
- Review and ensure accuracy of invoices prior to processing
- Handle mailing services including courier, pickup, and drop-off
Reception Management
- Handle incoming and outgoing phone calls and inquiries
- Greet visitors and monitor the sign in/out sheet
- Manage outgoing and incoming mail, including local couriers
- Handle emails and monitor multiple inboxes
Building Management/Tenant Responsibilities
- Review, execute, and consolidate building contracts for supplies, facility maintenance, and other requirements
- Act as point of contact for and coordinate with vendors
- Conduct general monthly office inspections
- Inventory/office ordering (kitchen restock, stationary, printer room supplies, mail out supplies, etc.)
- Communicate with the team on changes, interruptions or notices as needed
Executive Support
- Prepare, manage, and submit expense reports
- Executive support including bookings, calendar management, reservations and other requests
- Support Marketing with ordering, budgeting, and coordination of events
- Manage travel requests and bookings for CWL and H3M
- Management of corporate accounts including scheduling, communication, and distribution of tickets or other items
Health & Safety
- Adhere to and stay informed on all Health & Safety requirementsas outlined in the organization's policies, procedures, and any relevant legislation
- Follow established safety procedures and protocols
- Use required controls to protect against potential hazards, including Personal Protective Equipment (PPE)
- Identify and report any unsafe conditions, hazards, incidents, or potential risks
- Promote a culture of safety through active involvement, attending training, and supporting teammates
Experience and Qualifications
Previous experience in an office environment considered an asset. We welcome candidates with a blend of relevant experience and/or education. The ideal candidate will demonstrate:
