Job Overview: The FirstService Residential Assistant Property Manager provides management services to a diverse portfolio of buildings including Rental (Residential), Commercial & Commercial Strata on behalf of investor clients. We are seeking someone in the Victoria area, who is familiar with Vancouver Island Rental Buildings, and is passionate about managing a portfolio of rental buildings. The Property Manager Assistant provides administrative, operational, and coordination support to the Licensed Property Manager. This role carries no authority to approve expenditures, contracts, legal notices, or financial commitments, and operates strictly under the direction and supervision of the Property Manager. Key Responsibilities:- Act as the first point of contact for tenant inquiries, service requests, and routine correspondence.
- Log, track, and escalate tenant concerns and disputes to the Property Manager as required.
- Coordinate maintenance requests, create and manage work orders, and schedule vendors and site access.
- Track service progress, vendor documentation, and completion records.
- Provide administrative support for purchase orders, invoices, and budget tracking (no approval authority).
- Support leasing and unit turnover processes, including showings, applications, move-ins, and move-outs.
- Assist with Residential Tenancy Branch (RTB) administrative tasks under supervision, including documentation and scheduling.
- Schedule inspections and maintain compliance, permit, and safety documentation.
- Maintain accurate records related to tenants, vendors, contracts, and service histories.
- Assist with budget preparation, contract administration, and audit support.
- Support business development initiatives, special projects, and other duties as assigned.
- Three years of experience as a leasing agent / property manager managing different types and sizes of properties and different client types and client situations. In particular they should possess experience with rental buildings holding multiple units.
- Adept at using property accounting systems (e.g., Yardi), building management, owner/tenant portals, and keen to implement new technologies and tools.
- Thorough knowledge of the Residential Tenancy Act of British Columbia and the Strata Property Act
- Demonstrate a customer service mindset that encompasses superior written and oral communication skills
- Strong understanding of building systems and operations
- Be highly efficient, organized, and skilled at time management
