About the Opportunity
Pivotal is hiring an experienced Payroll & Benefits Administrator to support a client in a well-established, multi-site, safety-focused, hourly workforce environment. This is a one-year contract role, and we are looking for someone who is ready to fully step into the team, learn the business, and contribute as if they were joining long term. While this is a contract opportunity, longer-term opportunities may become available in the future.
This role supports a mix of operational, skilled, and administrative employees, so experience with unionized teams, shift schedules, and time-sensitive payroll deadlines is important. Additional details about the client, work environment, and reporting structure will be shared with selected candidates during the recruitment process.
The Role
The Payroll & Benefits Administrator will be responsible for accurate and timely payroll processing, employee payroll records, benefits administration, reporting, and payroll-related inquiries. The successful candidate will bring strong experience processing payroll for unionized hourly employees, including employees working 12-hour shifts, overtime, shift premiums, and other schedule-based pay rules.
Key Responsibilities
- Process accurate, on-time bi-weekly payroll using ADP Workforce Now.
- Maintain and update employee payroll records with a high degree of accuracy and confidentiality.
- Verify timesheets, hours worked, pay rates, employee changes, union-related payroll details, and supporting documentation.
- Calculate wages, overtime, vacation pay, premiums, shift differentials, bonuses, deductions, taxable benefits, and other payroll adjustments.
- Administer payroll for employees working 12-hour shifts and other rotating or non-standard schedules.
- Support compliance with applicable payroll legislation, collective agreement requirements, company policies, and reporting obligations.
- Prepare payroll reports for internal stakeholders and government-related submissions as required.
- Reconcile payroll accounts and investigate or resolve discrepancies in a timely manner.
- Respond professionally and confidentially to employee payroll and benefits inquiries.
- Partner with HR and Finance on employee changes, terminations, benefit updates, and payroll-related processes.
- Administer employee benefit programs and coordinate with benefit providers as needed.

Education and Experience
- Post-secondary education in accounting, finance, business administration, human resources, or a related field, or equivalent experience.
- 3 to 5 years of related payroll and benefits administration experience.
- Direct experience processing payroll in a unionized hourly environment is strongly preferred.
- Experience supporting employees on 12-hour shifts, rotating schedules, overtime rules, shift premiums, or similar payroll scenarios is strongly preferred.
- Experience in an industrial services, trades, facilities, field operations, construction, manufacturing, or similar hourly workforce environment is considered an asset.
- Payroll Compliance Practitioner designation is considered an asset.
Work Arrangement
- Full-time onsite role based in Scarborough, Ontario.
- The role supports two nearby work locations, with travel between sites as required.
- This position is required to be onsite full-time.
Compensation
$65,000 to $75,000 annually, based on experience and qualifications. The top end of the range is reserved for a highly experienced candidate who can work independently, learn quickly, and support payroll and benefits administration for a confidential client with minimal onboarding to systems and processes.
