Job Title: Business Operations Associate
Job Description

The Business Operations Associate supports the seamless movement of client funds between institutions by executing fast, reliable, and accurate transfer processes. This role focuses on core operational pillars such as electronic transfers, manual incoming payments, and manual outgoing transfers to ensure a trustworthy and efficient client experience. You will contribute directly to payments operations and business operations, helping to make complex financial transfers as frictionless and dependable as possible. Depending on team needs and your ability to work on-site, you will join either the ATON or Manual In/Out pillar within a collaborative operations team.

Responsibilities

  • Support a range of key transfer processes, including cheque reconciliation and processing, to ensure accurate and timely posting of client funds.
  • Review ACC/REJ (Accept/Reject) items, investigate issues, and resolve discrepancies to maintain the integrity and reliability of transfer workflows.
  • Set up DTC outbound transfers and ensure all required data and documentation are complete, accurate, and compliant with internal procedures.
  • Handle ATON transfers (both inbound and outbound) by processing electronic transfers via the ATON network and resolving any operational issues that arise.
  • Process Manual In transactions, including incoming cheques, A$M, and other paper-based methods, ensuring proper validation, recording, and follow-up.
  • Manage Manual Out transactions by coordinating outbound paper-based or manual transfers and confirming that all client instructions are executed correctly.
  • Perform accurate and timely data entry in internal systems and spreadsheets to support end-to-end payments operations.
  • Use tools such as Excel and Google Sheets to track, reconcile, and report on transfer activity, highlighting anomalies or trends as needed.
  • Collaborate with payments operations and business operations teams to identify process improvements that enhance speed, accuracy, and client satisfaction.
  • Leverage Jira or similar tools to log, track, and resolve operational issues, ensuring clear communication and timely follow-through.
  • Apply SQL skills, where applicable, to retrieve, analyze, and validate operational data that supports decision-making and process monitoring.
  • Maintain a high level of attention to detail in all tasks to minimize errors and support a trustworthy, compliant operations environment.
  • Support peak season volumes by managing workload effectively, prioritizing tasks, and escalating issues when necessary to meet service expectations.
  • Contribute to a culture of continuous improvement by suggesting enhancements to workflows, documentation, and controls within payments operations.
Essential Skills
  • Experience in payments operations or a closely related payments-focused role.
  • Strong data entry skills with a high degree of accuracy and speed.
  • Proficiency with Excel for organizing, analyzing, and reconciling operational data.
  • Proficiency with Google Sheets for collaborative data tracking and reporting.
  • Demonstrated attention to detail in handling financial or operational data.
  • Ability to support and improve business operations and payments processes.
  • Familiarity with Jira or similar tools for tracking issues and operational tasks.
  • Practical SQL skills for querying and validating data in support of operations.
  • Strong problem-solving skills for resolving ACC/REJ issues and transfer discrepancies.
  • Ability to manage multiple transfer workflows, including electronic and paper-based methods.
  • Effective communication skills to collaborate with cross-functional teams and escalate issues when necessary.
Additional Skills & Qualifications
  • Degree or diploma in a relevant field such as business, finance, or a related discipline.
  • Experience working within a business operations or customer experience organization.
  • Exposure to ATON transfers or similar electronic transfer networks.
  • Familiarity with cheque processing and reconciliation workflows.
  • Experience with manual payment processes, including incoming and outgoing paper-based transfers.
  • Interest in process improvement and continuous optimization of operational workflows.
  • Ability to adapt quickly during peak seasons and handle increased transaction volumes.
  • Openness to contract opportunities with the potential for extension or transition to a permanent role based on performance and business needs.
Work Environment

The role operates within a customer experience–focused operations group that manages critical payments and transfer workflows. The team is organized into three core pillars: ATON Transfers (inbound and outbound electronic transfers via the ATON network), Manual In (incoming cheques, A$M, and other paper-based methods), and Manual Out (outbound paper-based or manual transfers). There are multiple openings for this position, with a mix of in-office and virtual opportunities. Some associates work on-site in a Toronto office on a full-time, five-day-per-week basis, while others may work virtually depending on business needs. Standard hours are approximately 9:00 a.m. to 5:00 p.m. within a typical workweek. The environment relies on tools such as Excel, Google Sheets, Jira, and SQL-enabled systems to manage and monitor operations. The culture emphasizes reliability, accuracy, and continuous improvement in delivering a smooth and trustworthy transfer experience for clients.

The pay range for this position is $25.00 - $25.00/hr.
