We Are Partners!As a Project Coordinator, you will support the Project Team in the successful delivery of one large or multiple smaller construction projects. Reporting to the Project Manager, this role is responsible for assisting with project administration, cost control, scheduling, quality management, safety compliance, and overall project performance.
You will work closely with Project Managers, Superintendents, subcontractors, consultants, and clients to ensure projects are delivered safely, efficiently, and in accordance with contractual requirements.
Key ResponsibilitiesProject Administration & Coordination- Establish and maintain project reporting systems, including:
- Cost reports
- File logs
- Submittal logs
- Change order logs
- Project correspondence
- Maintain organized and accurate project documentation throughout the project lifecycle.
- Prepare correspondence, reports, forms, and specialized documents while ensuring accuracy, completeness, and professional formatting.
- Support project teams with administrative and coordination activities as required.
- Assist the Project Manager with project budget development and ongoing cost monitoring.
- Perform detailed cost reviews and support accurate budget forecasting.
- Prepare and verify progress billings for owners and subcontractors.
- Monitor project financial performance and assist in identifying opportunities to improve profitability.
- Support subcontract buyout processes and track subcontractor commitments.
- Assist in the development, implementation, and monitoring of project schedules.
- Track project progress and provide status updates related to schedule, cost, and safety performance.
- Support proactive identification of project risks, delays, and potential impacts to project objectives.
- Coordinate activities to ensure project milestones and contractual requirements are achieved.
- Develop an understanding of contract documents, specifications, drawings, and contractual obligations.
- Assist in enforcing contractual responsibilities and supporting dispute resolution when required.
- Support the preparation, negotiation, issuance, and administration of subcontracts and major purchase orders.
- Monitor subcontractor performance, progress, and compliance with contractual requirements.
- Monitor project safety reporting and support compliance with company Health, Safety, and Environmental programs.
- Participate in regular site safety inspections and ensure corrective actions are addressed.
- Assist in developing and maintaining project quality control plans.
- Support the establishment of site action teams and quality initiatives as required.
- Liaise with building authorities, regulatory agencies, and project stakeholders to support project compliance.
- Build and maintain positive relationships with owners, architects, consultants, subcontractors, and the public.
- Coordinate project meetings and distribute agendas, minutes, and action items.
- Chair project meetings when required and ensure follow-up on outstanding items.
- Facilitate communication between project stakeholders to support successful project execution.
- Participate in all aspects of project closeout activities, including:
- Document archiving
- Deficiency management
- Warranty administration
- Maintenance and operations manuals
- Final project documentation
- Support successful project turnover and client satisfaction at project completion.
- Post-secondary diploma or degree in Construction Management, Engineering, or a related discipline, or an equivalent combination of education and experience.
- Previous project coordination experience, preferably with a mid-to-large general contractor, is considered an asset.
- Experience working within commercial, institutional, industrial, or civil construction environments is an asset.
- Strong proficiency Microsoft
- Experience with Viewpoint or other construction management software is considered an asset.
- Ability to read and interpret construction drawings, specifications, and contract documents.
- Working knowledge of construction methods, materials, equipment, and sequencing.
- Strong verbal, written, and interpersonal communication skills.
- Excellent organizational and time-management abilities.
- Strong attention to detail and commitment to accuracy.

- Ability to work effectively under tight deadlines and manage multiple priorities.

- Occasional lifting or moving of materials up to 25 lbs.
- Exposure to active construction environments and site conditions.
