Job Description
The Payroll Associate (Temporary ROE Specialist) supports the Canadian payroll team with a primary focus on the accurate and timely creation and submission of Records of Employment (ROEs) to Service Canada. This role manages both manual and system-generated ROEs in Oracle Fusion Cloud, ensures strict compliance with Canadian payroll legislation and internal policies, and provides broader payroll support as needed. The position offers hands-on exposure to in-house payroll operations, the opportunity to work in a collaborative and supportive team environment, and strong potential for contract extension based on performance and business needs.
Responsibilities
- Create, review, and submit Records of Employment (ROEs) to Service Canada in a timely and accurate manner.
- Process ROEs using both manual entry and the Oracle Fusion Cloud payroll system.
- Ensure all ROE submissions comply with Service Canada regulations, required timelines, and internal policies.
- Investigate and resolve discrepancies related to insurable earnings, hours, and separation reasons.
- Maintain accurate documentation and audit trails for all ROE transactions to support internal controls and audits.
- Respond to internal ROE-related inquiries from HR, payroll, and leadership stakeholders in a clear and professional manner.
- Support payroll processing activities for Canadian employees as required, ensuring accurate and compliant payroll runs.
- Assist with payroll data entry, validations, and reconciliations to ensure the integrity and accuracy of payroll data.
- Address employee inquiries related to pay, deductions, and employment status in a professional and timely manner.
- Support internal and external payroll audits and reporting requirements by preparing data, reports, and documentation.
- Collaborate closely with payroll team members to ensure smooth, efficient, and compliant payroll operations.
- Manage high volumes of ROE requests efficiently, particularly during periods of increased activity such as terminations, layoffs, and seasonal changes.
- Maintain strong adherence to internal controls, Canadian payroll legislation, and regulatory standards in all payroll and ROE activities.
- Demonstrate flexibility by supporting broader payroll functions beyond ROE processing when needed.
- Contribute to a positive, team-oriented workplace culture by sharing knowledge, supporting colleagues, and participating in continuous improvement efforts.
- 1–3 years of Canadian payroll experience, including direct exposure to ROE processing.
- Strong understanding of Service Canada ROE requirements and Canadian employment standards.
- Hands-on experience with HRIS and payroll systems, with a preference for Oracle Fusion Cloud.
- Proficiency in Microsoft Excel, including the use of VLOOKUPs and pivot tables.
- High attention to detail and accuracy in all payroll and ROE-related tasks.
- Strong organizational and time management skills with the ability to meet strict deadlines and manage multiple tasks.
- Solid problem-solving and analytical skills to investigate and resolve payroll and ROE discrepancies.
- Effective written and verbal communication skills to interact with employees, HR, and payroll stakeholders.
- Ability to collaborate in a team-oriented environment and contribute to a positive workplace culture.
- Working knowledge of Canadian payroll legislation and compliance requirements.
- Demonstrated comfort working with payroll data, reports, and audit trails in an HRIS or payroll environment.
- Payroll Compliance Practitioner (PCP) designation or active progress toward completion.
- Experience working in a high-volume payroll environment.
- Familiarity with complex or large organizational payroll structures.
- Previous experience using Oracle Fusion Cloud in a payroll context.
- Experience supporting in-house payroll operations.
- Demonstrated ability to handle multiple priorities and adapt to changing business needs.
- Track record of maintaining strong compliance with internal policies and regulatory standards.
- Comfort working with detailed payroll data, reports, and audit trails to support audits and reporting.
- Experience using advanced Excel functions such as VLOOKUPs and pivot tables in a payroll or HRIS setting.
This role is part of a tight-knit Canadian payroll team that values collaboration, knowledge sharing, and a supportive work culture. You will work closely with experienced payroll specialists in an in-house payroll environment, gaining significant exposure to end-to-end payroll operations and ROE processing. The standard schedule is 40 hours per week, typically from 8:00 AM to 5:00 PM, with a 1-hour lunch break, and overtime may be required during peak periods or when managing high volumes of ROE requests. The position begins as fully onsite to support training, integration, and collaboration, and then transitions to a hybrid model with four days per week in the office and one remote day (currently Thursday).
