We are seeking a motivated and highly organized Corporate EHSQ Coordinator to join our team and support Environmental, Health, Safety, and Quality (EHSQ) operations across the organization.

This position serves as the primary support to the Corporate Health & Safety Manager and plays a key role in workforce readiness, onboarding, training compliance, claims management, project mobilization, and operational support activities throughout the company.

The Opportunity

This is a unique opportunity for an individual looking to build a long-term career in health and safety, compliance, and operations coordination.

The successful candidate will work closely with leadership, project teams, field personnel, clients, and regulatory stakeholders to help ensure projects remain compliant, organized, and ready for execution.

We are looking for a strong communicator who is organized and proactive. Must enjoy managing multiple priorities in a fast-paced construction environment. Must be equally comfortable with communicating with craft labor, site leadership and senior management. Training and mentorship will be provided to the successful candidate.

Key Responsibilities

Claims & Injury Management

  • Coordinate workplace injury and illness claims.
  • Support return-to-work and modified-duty programs.
  • Communicate with workers, supervisors, healthcare providers, and regulatory agencies.
  • Maintain accurate claims records and documentation.
  • Track claim progress and support timely resolution.

Training, Onboarding & Workforce Readiness

  • Coordinate employee onboarding and orientation requirements.
  • Maintain training matrices and competency records.
  • Monitor certification expiries and recertification requirements.
  • Coordinate training programs and employee compliance requirements.
  • Support workforce readiness and project mobilization activities.
  • Coordinate pre-access requirements including drug and alcohol testing, fit testing, orientations, and client-specific training.

Workforce Coordination & Project Support

  • Assist with employee scheduling, workforce deployment, and project readiness activities.
  • Support project startup documentation and mobilization requirements.
  • Coordinate communication between operations, project teams, and field personnel.
  • Support project managers, superintendents, and field teams with compliance requirements.
  • Assist with project documentation, reporting, and administrative support functions.

Digital Systems & Business Process Support

  • Administer and maintain BIS Safety Software and associated company systems.
  • Support training assignments, competency tracking, employee records, forms, workflows, and reporting.
  • Assist with development and continuous improvement of digital forms, workflows, and business processes.
  • Support user adoption, troubleshooting, and ongoing system improvements.
  • Maintain accurate records and documentation within company platforms.

Client Compliance & Contractor Management

  • Maintain client compliance portals including ISNetworld, Avetta, ComplyWorks, Safe Contractor, and similar systems.
  • Coordinate document submissions and compliance requirements.
  • Monitor deadlines and communicate outstanding action items.
  • Support contractor prequalification and client compliance activities.

EHSQ Administration & Reporting

  • Maintain safety, quality, environmental, and training records.
  • Track corrective actions and regulatory requirements.
  • Assist with incident investigations and lessons learned distribution.
  • Support monthly reporting, statistics, and KPI tracking.
  • Maintain document control and electronic filing systems.

Audit & Compliance Support

  • Support COR certification and audit preparation activities.
  • Maintain documentation required for internal and external audits.
  • Assist with regulatory inspections and compliance initiatives.
  • Support continuous improvement of company EHSQ programs.

Communications

  • Communicate professionally with workers, supervisors, managers, clients, and regulatory agencies.
  • Coordinate communications through phone calls, email, Teams, text messaging, and in-person meetings.
  • Distribute safety alerts, toolbox talks, lessons learned, and compliance information.
  • Follow up on action items and drive tasks to completion.
  • Build positive working relationships with employees at all levels of the organization.

Qualifications

  • National Construction Safety Officer (NCSO), Construction Safety Officer (CSO), Occupational Health & Safety Certificate or Diploma can be an asset but not required.
  • Strong written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Technology-minded and comfortable learning new software platforms and business systems.
  • Valid Class 5 Driver's License with a clean driver's abstract.
  • Ability to travel to project sites as required.
  • Comfortable working in both office and field environments.
  • Ability to drive on resource roads, construction sites, and rough terrain when required.
  • Professional appearance and ability to represent the company in both field and corporate environments.
  • Must be equally comfortable wearing steel-toed boots on a construction site and business casual attire in a corporate office environment.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

Assets (Not Required)

  • Experience with onboarding, workforce scheduling, training coordination, or project mobilization.
  • Experience with claims management, return-to-work programs, or disability management.
  • Experience with BIS Safety Software or Learning Management Systems (LMS).
  • Experience with digital forms, workflows, reporting, and document management systems.
  • Experience with ISNetworld, Avetta, ComplyWorks, SafeContractor, or similar contractor compliance platforms.
  • Experience in heavy civil, industrial, pipeline, oil & gas, transportation, manufacturing, or infrastructure projects.
