The Role
Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to a senior executive and leadership team. This role serves as a key point of contact for internal and external stakeholders and is responsible for managing schedules, coordinating travel, facilitating communication, and ensuring day-to-day operations run smoothly. The ideal candidate is resourceful, adaptable, highly discreet, and thrives in a fast-paced environment where priorities can shift quickly.
Responsibilities
- Manage complex calendars, appointments, meetings, and scheduling activities for senior leadership.
- Coordinate and prioritize incoming communications, including emails, phone calls, and correspondence.
- Arrange domestic and international travel, including flights, accommodations, transportation, itineraries, and travel budgets.
- Prepare and process expense reports while ensuring compliance with company policies and procedures.
- Support leadership through the preparation of presentations, reports, spreadsheets, and other business documentation.
- Organize and coordinate meetings, including room bookings, catering, agenda preparation, presentation support, and meeting minutes.
- Act as a professional liaison between leadership and internal/external stakeholders.
- Welcome and assist visitors, clients, and business partners both in person and virtually.
- Anticipate executive needs, manage competing priorities, and proactively resolve issues before they arise.
- Maintain strict confidentiality when handling sensitive business information.
- Support the development and improvement of internal administrative processes and workflows.
- Provide broader administrative and operational support as required.
Requirements
- Minimum 2 years of experience in an Executive Assistant, Senior Administrative Assistant, or similar support role.
- Exceptional organizational, prioritization, and time management skills.
- Strong written and verbal communication skills with the ability to interact professionally at all levels of an organization.
- Proven ability to thrive in a fast-paced, evolving environment while managing multiple priorities.
- Strong attention to detail and a proactive, solutions-oriented mindset.
- Ability to build and maintain effective working relationships with a variety of stakeholders.
- Experience supporting senior leaders or executives is considered an asset.
- Advanced proficiency with Microsoft Office Suite, Google Workspace, and Adobe Acrobat.
- Comfortable learning and utilizing new technologies, software platforms, and AI-powered tools.
- Experience troubleshooting common technology, videoconferencing, and audio-visual systems issues.
- Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Flexible, adaptable, and willing to provide additional support as business needs evolve.
