Service Advisor / Service Writer (Night Shift)
Ottawa, ON | Full-Time | Permanent
Our client is a rapidly growing and highly respected fleet services and hydrovac organization serving commercial, infrastructure, and utility sectors throughout Eastern Ontario. Due to continued expansion, they are seeking a highly organized and customer-focused Service Advisor / Service Writer to join their night shift operations team in the Ottawa Service Centre.

The Opportunity
Working directly with technicians, operations personnel, and management, the Service Advisor / Service Writer will play a critical role in coordinating maintenance and repair activities for a large fleet of heavy-duty trucks and specialized hydrovac equipment.
The successful candidate will be responsible for opening and closing work orders, scheduling maintenance, communicating repair requirements, tracking fleet service activity, and ensuring repairs are completed efficiently to maximize vehicle uptime. This position serves as the key communication link between the shop floor and operations team, helping maintain an organized and productive maintenance department.
Key Responsibilities
- Create, manage, and close work orders for maintenance and repair activities
- Coordinate and schedule preventative maintenance, inspections, and repairs
- Communicate repair requirements, timelines, and updates with operations and management teams
- Assist technicians by ensuring accurate documentation of work performed
- Review completed repairs and verify work order accuracy prior to invoicing or closing
- Monitor fleet maintenance schedules and ensure compliance with regulatory requirements
- Track parts requirements and coordinate with suppliers as needed
- Prioritize repair requests to support operational demands and fleet availability
- Maintain accurate maintenance records and service history documentation
- Support shop efficiency initiatives and continuous process improvements
- Promote a safe, organized, and professional work environment
What We're Looking For
- Previous experience as a Service Advisor, Service Writer, Maintenance Coordinator, Fleet Administrator, or similar role
- Experience working within heavy-duty trucking, transportation, fleet maintenance, construction equipment, or related industries preferred
- Strong organizational and multitasking abilities in a fast-paced environment
- Excellent communication and customer service skills
- Ability to effectively prioritize work and manage competing demands
- Strong computer skills and experience with maintenance management software or work order systems (i.e., CBKIntelliDealer)
- Understanding of fleet maintenance operations and preventative maintenance programs considered an asset
- Positive attitude with a team-oriented approach
- Mechanical aptitude or familiarity with heavy-duty vehicles is highly desirable but not required
Schedule
Night Shift
- Monday to Thursday
- 4:30 PM – 3:00 AM
- Four-day work week with three-day weekends every week
Compensation & Benefits
- Competitive compensation from $52,000-$73,000 based on experience
