- Assist in the planning, scheduling, and coordination of service calls and installation projects with technicians, engineers, and customers.
- Act as a liaison between customers and service teams to confirm project requirements, timelines, and deliverables.
- Monitor project progress and help resolve issues that arise throughout the project lifecycle.
- Approve technician time entries, review expense reports, and release completed projects for billing.
- Prepare and maintain project documentation, installation checklists, service reports, and project tracking records.
- Track and manage service-related equipment while ensuring milestones and deliverables are completed on time.
- Support project managers with scope, schedule, and cost management activities.
- Assist with reviewing workflows and identifying opportunities for continuous process improvement.
- Help update training guides, reference materials, and operational documentation.
- Communicate project updates and progress with internal teams and leadership.
- Establish and maintain excellent relationships with all departments including Sales, Service, Operations, Administration, and Support teams.
- Serve as a point of contact for project team members, customers, and stakeholders throughout active projects.
- Collaborate closely with technicians, engineers, vendors, and customers to support successful project completion.
- Support customer satisfaction by helping resolve scheduling or service-related concerns and escalating issues when necessary.
- Maintain strong communication with leadership regarding project timelines, resource allocation, and project status updates.
- Self-motivated, organized, and detail-oriented with the ability to manage multiple priorities.
- Strong problem-solving and multitasking abilities in a fast-paced environment.
- Exceptional communication and interpersonal skills, both verbal and written.
- Strong working knowledge of Microsoft Office platforms including Word, Excel, and PowerPoint.
- Ability to work independently and collaboratively within a team environment.
- Strong time management and organizational skills with attention to detail.
- Commitment to customer service, operational excellence, and continuous improvement.
- Ability to adapt to changing priorities and project requirements.
- Previous experience in a Project Coordinator or similar role within a technology, logistics, or field services environment preferred.
- Post-secondary education in Business Administration, Supply Chain Management, Project Management, or a related field is considered an asset.
- PMP or CAPM certification is considered an asset but not required.
- Bilingual (English/French) is considered a strong asset.
- Competitive compensation package $50,000-$60,000 and 5% bonus
