Position Summary:
Please Note:This is a position intended for students enrolled in post-secondary education programs to join us for a summer work term.
Bulletproof is seeking a student to support our Proposals & Contracts team as Request for Proposal (RFP) / Proposal Administrator. This role is primarily focused on RFP intake, opportunity tracking, and administrative support across the proposal lifecycle.
You will play a critical role in identifying relevant RFP opportunities, maintaining our opportunity pipeline, and supporting the Go/No-Go decision process. This position requires strong attention to detail, organization, and the ability to manage multiple deadlines in a fast-paced environment.
Responsibilities:
- Monitor the RFP group inbox and external bid portals to identify potential opportunities aligned with Bulletproofs services and ideal client profile.
- Maintain and manage the opportunity tracking system in SharePoint, ensuring accurate and up-to-date information.
- Track key deadlines, amendments, and submission requirements, proactively flagging risks to the team.
- Develop and maintain RFP timelines and ensure key milestones are met.
- Prepare RFP summaries to support Go/No-Go decision-making.
- Ensure all required intake information is captured and documented.
- Support coordination of internal stakeholders during early-stage opportunity review.
- Maintain and update boilerplate content libraries.
- Assist with drafting standardized content and response templates.
- Proofread documents for clarity, grammar, formatting, and consistency.
- Manage logins, credentials, and keyword searches for RFP/bid sites.
- Support reporting and tracking for leadership.
- Assist with coordination across sales, legal, finance, and delivery teams.
- Contribute to process improvements within the RFP lifecycle.
- All other duties as assigned.
Required Education/Credentials/Qualifications/Skills:
- In progress of completing a post-secondary degree or diploma in Communications, Journalism, English, Business, Marketing or a related field.
- Strong organizational and time-management skills, with the ability to manage multiple concurrent deadlines.
- High attention to detail and accuracy in document handling and data entry.
- Ability to quickly assess information and identify relevant opportunities.
- Familiarity with IT or cybersecurity concepts is considered an asset.
- Experience in document review and editing.
- Ensure responsiveness and timely action is taken to meet the needs of others.
- Detail oriented and takes great care of keeping track of deadlines and producing flawless documentation.
- Proficiency in using Microsoft Office, including SharePoint, Word, Excel, and PowerPoint is required.
- Must have the ability to exercise sound judgment.
- Must have the ability to read, write, speak, understand, and communicate in English sufficiently to perform the duties of this position.
- Excellent verbal and written communication skills.
