Office Manager – Dental Laboratory

Location: Ottawa, ON

Job Type: Full-time, Onsite

Schedule: Monday to Friday

Pay: Approximately $30/hour, depending on experience

Job Overview

A dental laboratory in Ottawa is seeking an experienced Office Manager to oversee daily administrative operations and support smooth communication between the lab team, dental offices, clients, and internal departments.

The ideal candidate will have previous experience in a dental office, dental laboratory, or healthcare/customer service environment. Dental experience is strongly preferred, as this role requires understanding case flow, client communication, work orders, scheduling, invoicing, and daily operational needs.

Bilingual English/French is considered a strong asset.

Responsibilities

  • Oversee daily office operations and administrative workflow
  • Manage work order entry and ensure case information is accurate
  • Support invoicing, billing coordination, and account-related tasks
  • Coordinate shipping, receiving, deliveries, and case tracking
  • Communicate with dental offices, doctors, internal departments, and external customers
  • Help manage workflow between the front office and lab production team
  • Schedule vacations and help coordinate staff coverage
  • Review and approve employee timesheets
  • Support customer service and resolve questions or case-related issues professionally
  • Maintain organized records, documentation, and office processes

Qualifications

  • Previous office management, administrative, or customer service experience
  • Dental office, dental lab, or healthcare experience strongly preferred
  • Experience dealing with internal and external customers
  • Strong organizational skills and ability to oversee multiple priorities
  • Comfortable managing workflow, schedules, documentation, and communication
  • Professional phone and email communication skills
  • Reliable, detail-oriented, and able to work independently
  • Bilingual English/French is an asset

This is a full-time, onsite position in a dental laboratory environment. The ideal candidate is organized, proactive, professional, and comfortable supporting both customer-facing and internal operational needs.
