Enji-Maawinjidiyaang Receptionist

Compensation: $20 Hourly

Do you want to join a dynamic team? We are looking for an individual to join our Niigaaniin team as a casual relief receptionist on a prescheduled and on call in basis.

Purpose

Under the direction of the Director of Niigaaniin Services and or another appointed person the Enj-Maawinjidiyaang Receptionist performs a wide variety of duties and administrative supports to the Enj-Maawinjidiyaang (Elliot Lake Indigenous Friendship Center).

The Enj-Maawinjidiyaang Receptionist provides direct support to the staff at Enj-Maawinjidiyaang and provides support as the receptionist to visitors and community members accessing Enj-Maawinjidiyaang.

The Enj-Maawinjidiyaang Receptionist is responsible to plan, organize, coordinate and control all administrative operational procedures, activities and documentation flow through Enj-Maawinjidiyaang.


QUALIFICATIONS

Requirements:

  • It is preferred for the applicant to be a registered band member of the First Nations serviced by Niigaaniin Services, including Batchewana First Nation, Garden River First Nation, Thessalon First Nation, Mississauga First Nation, Serpent River First Nation, Sagamok Anishnawbek, Atikameksheng Anishnawbek, and Wahnapitae First
  • A diploma in Business Administration and/or two (2) years experience in administration, preferably with a First Nation in social services,
  • Experience dealing with individuals of diverse clients (harder to employ) facing multiple barriers to employment,
  • Superior oral and written communication skills, excellent time management skills with the ability to multi-task in a fast-paced environment, and
  • Must be Proficient in MS Office Applications, Word, Excel, Power Point, Outlook and internet.
  • Must have a clear Criminal Reference Check and Vulnerable Peoples Sector Check applicable to the responsibilities of this position.
  • Drivers license and access to a vehicle would be considered and asset.

Knowledge, Skills and Abilities:

  • Knowledge and understanding of Anishnaabemowin, culture and traditions of Indigenous people of the Robinson Huron Treaty,
  • Familiar with community services networks and knowledge the Niigaaniin Services would be an asset,
  • Ability to work in a performance-based system with a proven track record of meeting targets and outcomes is essential,
  • Requires minimum supervision, able to work independently and maintains a supportive and cooperative environment with colleagues and the communities,
  • Strong organizational, analytical, administrative and oral communication skills,
  • Ability to exercise discretion in handling confidential subject matter,
  • Knowledge of office procedures and equipment,
  • Experience in human resource monitoring,
  • Ability to develop clear, concise and accurate written communications such as reports and correspondence,
  • Ability to establish and maintain effective working relationships with team members, communities and other staff within the organization,
  • Ability to establish and maintain positive relationships with community members, communities and visitors accessing the organization and programming,
  • Ability to establish and manage priorities to ensure that services and functions are performed in an efficient and responsive manner,
  • Working knowledge of the computers and computer software, and
  • All candidates must be able to work with a diverse population.


Duties & Responsibilities

Reception

  • Greet visitors as they arrive at the office,
  • Direct visitors to the appropriate team members and programming,
  • Answer, and direct all incoming calls,
  • Schedule/Book appointments in Outlook Calendars,
  • Schedule/Book IFC van for programmers and team functions,
  • Collect paperwork from visitors and community members as required,
  • Date stamp and time paperwork that is being handed in from visitors and community member,
  • Input paperwork received into the tracking tool,
  • Ensure all registration, sign in/out sheets, and membership applications are uploaded to centralized data application,
  • Maintain the coffee, snack etc. supplies in the lobby area,
  • Ensure lobby is cluttered and debris free, and
  • Monitor the lobby area.
