Sales & Office Administrator
Location: Vaughan, ON
Type: Full-Time, Permanent (3-Month Probation)
The Role
We are seeking a highly organized Sales & Office Administrator to support daily sales operations and office coordination. This role is central to maintaining responsiveness with customers and improving internal efficiency.
Key Responsibilities
- Act as first point of contact: answer phones and manage shared inbox
- Prepare quotes, process orders, and maintain CRM records
- Coordinate customer follow-ups and internal communication
- AP/AR data entry such as Invoice uploads (Coupa, Ariba/SAP, Tungsten, etc)
- CRM entry & maintenance
- Develop and maintain templates
- Communicate machine orders tracking & confirmations
- Leads tracking and follow up
- Provide direct administrative support to the Sales Director
- Refine & maintain filing systems and documentation
- Analyze and organize data in Excel to support reporting
- Identify and implement office process improvements
What We're Looking For
- An independent, customer-oriented person that is always striving to improve and find a better way to implement smart solutions to serve the customer and your colleagues.
- 5+ years experience in administration, inside sales, or coordination
- Strong organizational and multitasking abilities
- Advanced proficiency in PPT, Word, Sharepoint, Excel (data handling and reporting), Power BI, AI analytics
- Strong communication skills and you are proficient in English (written and spoken) is a pre-requisite. French is an advantage.
- Post Secondary Education is preferred
- Experience with ERP & CRM systems is required
- Resourceful, driven and flexible are cherished assets
- Detail oriented and precision is required
- Ability to travel to the US is required for potential training
Compensation
- $45,000–$60,000 annually (based on experience)
- Benefits and RRSP matching after probation period
- 3 weeks (15 days) vacation in addition to company observed holidays.
